This form lets you enter control figures and parameters for each batch of documents in advance of entering the batch. Autoline will check the batch against these control figures before posting the Batch.

The controls provided are:

Documents

Enter the number of documents to be input in this batch. The system will warn you if more or fewer documents than this number are entered.

Batch total

Enter the total value of the batch. The accumulated document values once entered will be checked against this figure.

Note: The presence of these batch controls is dependant on two System parameters which reside on the Batch Input tab.

Journal type

The system supports the concept of journal types for different methods of document input, or different types of document. If journal types are being used then you can Click on the Drop down DropDown.gif to select the correct journal type for this batch.

Gross Input

Check this box if you want to enter the total document value and let Autoline calculate the VAT content by using the Default VAT code held on the Sales Ledger Account header of the account being used for each document.

Warning: The Gross Input method is not recommended if any of the documents in the batch have multiple VAT rates.

Currency Conversion Methods

In addition the Batch Input of Sales Documents form displays a currency conversion group. This group is controlled by radio buttons which are only enabled in multi-currency systems.

The method chosen controls the currency conversion method used for the whole batch.

There are three methods available.

Rates Table

This method uses the Exchange rates table pre-set in the Nominal Ledger.

By document

This allows you to apply an individual rate to each document of the batch.

Entered amount

This allows you to enter a value for each financial item on the transaction separately, without the benefit of automatic calculation.

Document Amendment Sequences

To sort the transactions for amendment purposes once entered you have three radio buttons to choose from :

  1. Select Account to display the entered transactions in ascending sequence of account code.

  2. Select Document to display the entered transactions in ascending order by document number.

  3. Select Type to group the transactions together by document type e.g. all Invoices together, all Credit Notes together.

Buttons

Exit

Click this button when you want to leave the Batch input and return to a menu.

Help

Click this button if you want to load the help file on this function.

Post

Click this button when the batch is complete and you wish to post the transactions to the accounts. On execution of this button Autoline will check the Batch controls for differences and issue appropriate messages. See Posting and ending the batch and Special Privileges for further information relating to the Post button.

Batch Document Handling Buttons

Create

Click this button when all the Batch Control details are complete and you wish to start creating the individual document details for the batch.

Amend

This button remains disabled until you have actually entered document(s) for a batch and select a document for amendment at which point it will become enabled.

Display

This button remains disabled until you have actually entered document(s) for a batch and select a document in order to display the details, at this point the button will become enabled.

Delete

This button remains disabled until you have actually entered document(s) for a batch and select a document you wish to delete from the batch at which point the button will become enabled.
