Generating and Printing Documents

The Generate and print documents option is designed for the production of Miscellaneous Invoices and Credit Notes not produced by other areas of Autoline. It will print documents on any design of stationery, provided the Stationery Format has been created. It will additionally update the ledgers without further intervention once the Daybooks have been processed. Obviously because the document is generated on Autoline you have document image archiving available.

For documents produced with this option, there is no need to use the Batch input of documents option.

This option provides an approach to invoicing that requires the minimum of input from you and also provides a thorough control and checking process.

This option is heavily parameterised. This means that at set-up or as business needs change, you may alter key features of your invoicing by using the system parameters. This will not be a normal part of day-to-day business and should be done only by the system supervisor, or senior accounts personnel. (See the section on System Parameters)

On selecting Generate print documents from the Sales Ledger Main menu, and clicking the OK button, a dialog box will be presented to you with the option Do you require VSB postings? and two buttons Yes and No.

Tip: This is a standard feature in Autoline which enables you to pass income and costs from other modules into the Vehicle Stock Book records.

Click the Yes if you want to post items to Vehicle Stock Books in addition to the normal ledgers.

Click the No button to exclude posting to the Vehicle Stock Books.

Once either the Yes or No option is taken, a Choose journal type dialog box is presented.

Journal Type

The system supports the concept of journal types to identify different methods of document input and/or different types of document. You are presented with a dialog box listing all available types.

Select the appropriate journal type and click the OK button to determine which journal type is correct for the documents that are about to be created.

Click the Cancel button to return to the Sales Ledger main menu.
