Applying a Contribution, Excess Payment or VAT Reversal

This facility allows you to raise certain charge and credit entries on the WIP so that insurance excess payments, goodwill contributions and betterment adjustments can be dealt with in a straightforward way. It also provides the ability to reverse the VAT charged on an invoice so that it may be recharged as a separate item where this is necessary. This creates two additional labour lines on the WIP. Each of these is essentially the same but one has a negative value. In this way, using the normal split invoice facilities, these lines can be selectively invoiced to customer accounts so that charges are correctly allocated.

To make a contribution/insurance excess payment or reverse the VAT charged on an invoice:

  1. Raise a WIP in Service Point of Sale, and add labour and parts in the normal way.

  2. Complete the lines ready for invoicing.

  3. Click the Action icon.

    The Action form is displayed.

  4. Click the Contribution button in the INVOICE group box.

    The Total Contribution form is displayed.

  5. Select one of the following radio buttons:

  6. Edit the Text as appropriate.

  7. If you selected the Excess Insurance or Goodwill option, enter the amount of insurance excess/goodwill to be paid. The figure entered must be less than the current total invoiceable value of the WIP.

    Note: If you select the VAT reversal option, the system automatically defaults the VAT amount on the document into the Amount field. You cannot edit this field.

  8. When complete, click the OK button.

    The system creates two additional labour lines on the WIP, one with a negative value.

  9. Invoice the lines to the appropriate customer accounts using the split invoice facility.


Total Contribution Form

The Total Contribution form is displayed when you click the Contribution button in the INVOICE group box of the Action form. From this form, you can make a contribution/insurance excess payment or reverse the VAT charged on an invoice.

Contribution type:

There are three radio buttons within this group box. Select one of the following:

Text:

Within this group box, you can enter text for the selected option. This text is printed on the invoice against the labour or text line. For each option, standard text is defaulted into the box as follows, which can be amended as required:

Amount:

If the Excess insurance or Goodwill option is selected, enter the amount of contribution/insurance excess to be paid. The figure entered must be less than the current total invoiceable value of the WIP. If the VAT reversal option is selected, the VAT amount is defaulted into this field, and the field is disabled.
