Every time you use the Print function in one of your programs, the information goes to a spool before being sent to the printer. If you are printing several documents, they form a print queue. Spool Queue Control enables you to manage print jobs. The program also allows you to view properties for every print job (paper size and orientation, printing preferences and so on) before printing (to help save unnecessary printed material) or afterwards.
To select the spooler you want:
Select the Spool queue control option from the SPOOL UTILITIES MENU.
The Spool Control form is displayed. This form enables you to monitor the print queue on any of the spoolers listed in the Spool control form.
Type in the Spooler name if you know it or use the ellipsis button to search, and press the TAB key.
The Select Spooler form is displayed.
Select the Spooler you require and right-click or click OK.
Note: If you take this option from the Utilities menu, you will only see the spooler that is associated with your login.
To view a document:
Double-click any item in the print queue or right-click on any item in the queue and select view from the pop-up menu.
The View Document form is displayed where you can view the spooled print.
Note: You can sort and filter on all column headings by right-clicking the column heading. You can also sort by a left-click on all column headings.
Grid columns
User: User ID
Date: Date of the print process
Time: Time of the print process
Status: What is happening with the print process, for example Awaiting print, Held, Cancelled
Copies: Number of copies
Size: Document size in kilobytes
Mo: Module from where the document originates
Co: Company from where the document originates
Description: A description of the print process
Action: Any action taken from the right-click pop-up menu will be shown in this column (for example, if you released a print from the Spooler you will get the message Release-to-spool.)
Right-click any item in the queue, and a pop-up menu is displayed with the following options:
Note: Options listed depend on the type of spooler you are viewing.
View: Displays a form where you can view the spooled print on screen
Tip: There is a search facility to allow the location of specific text, without having to look through the whole report. You can type in the text and press TAB.
Print: Prints directly to the printer attached to the spooler. A form is displayed, enabling you to choose to print all, or a range of pages.
Release: Releases the print job to the spooler, up to a maximum of nine copies
Hold: Holds the print job for processing at a later time or date
Cancel: Terminates the print job
Archive: Saves the print job to an archive file for later retrieval
Annotate: This option appears only if the SPOOL file exists. When a report is run the three fields Report Title, Module Identifier and Source Company are automatically completed by the system. Selecting this option enables you to view or amend the fields.
Fax: This option will only appear if there is a fax server attached to the system. It enables you to fax the document to another fax recipient.
Tip: To select any of these menu options, click the Process button.
PUSH BUTTONS:
Choose Spooler: Click the Ellipsis button to search all the spoolers available.
Retrieve archive: Retrieve an archived print. You will be given the option to chose the year and month of the data you require.
Tip : You can sort and filter on all column headings by right-clicking the column heading. You can also sort by left-clicking column headings.
Spool control: Displays a form enabling the user to start/stop or kill the spooler. The form also displays the following information:
- Task: Shows whether the spooler is active or not active
- Last message: Shows the last message. For example, if the spooler was stopped, the Task would be not active, and the Last Message box would have the message Terminated.
- Print device: Print device address
- Banner: The banner (heading) on the top of the print
Exit: Returns you to the SPOOL UTILITIES MENU
Process: Processes any request made on a specific line
Help: Displays help on the current program using your default company browser
