Deduplication Utility

The Deduplication utility displays information such as any duplicate vehicles, customers or companies that have been created onto your CRM database.

Record deduplication is the rationalizing of two or more records, in the same or different files, containing some or all of the same data. You nominate a master record and you browse records that contain duplicate data (called merge records), optionally using their data to update the master record. The merge records are then deleted.

When duplicates are found a list of these duplicates are displayed in the Database Cleansing form. The record with the smallest primary key (magic number) is displayed in blue or green; the duplicates are displayed in white. You can merge duplicated records, via right-click on the gridlines in the Select Records grid and nominating one master record en set the other record(s) as Identified non-duplicate.

Tip: Via the Mercedes Benz Specific User Details you can select the Identified non-duplicate maintenance field on the CRM tab. This means that the user selected can set a CRM record as IND when the Deduplication Utility program defines the record as a duplicate.

Autoline processes the data in the Deduplication utility. But if you install Data Quality Sensor (MS/MBDQS), four additional features are displayed on the Database Cleansing form of the CRM module.

What do you want to do?

Tip: Via the MB Communication program you can setup the communication type DEDU and enter the module MK, company **, description Deduplication Utility - Export a list, transfer type SEL, remote system type C and select the Transmit immediatly field. If you want to launch automatically an associated program to the CSV file type select the Client tab and enter the command line EXECUTE (this starts the program linked to the file extension) and select Filename in command field.

Database Cleansing Form

This form is displayed when you click CRM > [Company] > Reports & Enquiries > Database Cleansing Menu > Deduplication Utility. Four additional options are added to the standard Database Cleansing form.

Menu Bar and Toolbar:

Menu bar Toolbar Action
Fill Grid > Generate list - The DQ Sensor calculation program runs and displays a list of possible duplicates of the found CRM records.
Fill Grid > Retrieve list Reports.gif Displays the list of the selected CRM record if it was previously generated by Fuzzy!Double.
Tools > Export NA Exports the list that is displayed in the Database Cleansing form to for example: Excel in CSV format.
Tools > Print NA The displayed list is printed to the selected output type.

First you have to select the specific button for which CRM type you want to retrieve a list, generate a list, Export a CSV file or print a list.

Generating a List of Duplicate Customers, Companies or Vehicles Using Fuzzy!Double

When you use the Generate list button Fuzzy!Double runs to generate a list of duplicates. With this run you can get equivalent records based upon error tolerances, thus more duplicates can be retrieved than using the standard Deduplication Utility.

To generate a list of duplicate customers, companies or vehicles using Fuzzy!Double:

  1. On the master menu, select CRM > [Company] > Reports & Enquiries > Database Cleansing Menu > Deduplication Utility.

    The Database Cleansing form is displayed.

  2. Do one of the following (a, b or c):

    1. Click the Companies toolbar button Company.gif or click the Merge > Companies menu bar command.

      Repopulates the grid preparatory to merging on company records, not on customers or vehicles.

    2. Click the Customers toolbar button Customers.gif or click the Merge > Customers menu bar command.

      Repopulates the grid preparatory to merging on customer records, not on companies or vehicles.

    3. Click the Vehicles toolbar button Vehicles.gif or click the Merge > Vehicles menu bar command.

      Repopulates the grid preparatory to merging on vehicle records, not on customers or companies.

  3. Click the Generate List toolbar button or click the Fill Grid > Generate List menu bar command.

    The DQ Sensor calculation program runs and displays a list of possible duplicates of the found CRM records.

The settings in this run are done in the Measurement categories program.

If Fuzzy!Double parameter is cleared or no settings are available of the Measurement categories program, no matches will be found.

Warning: Generating the list of a specific CRM type that results in processing lots of records will take al long time.

Retrieving the Latest List of Duplicate Customers, Companies or Vehicles Results Generated by Fuzzy!Double

When you use the Retrieve List, you will get the result of the Fuzzy!Double run activated by the Generate List. This option does not start Fuzzy!Double, it just fetches the previous results from the database.

To retrieve the latest list of duplicate customers, companies or vehicles results generated by Fuzzy!Double:

  1. On the master menu, select CRM > [Company] > Reports & Enquiries > Database Cleansing Menu > Deduplication Utility.

    The Database Cleansing form is displayed.

  2. Do one of the following (a, b or c):

    1. Click the Companies toolbar button Company.gif or click the Merge > Companies menu bar command.

      Repopulates the grid preparatory to merging on company records, not on customers or vehicles.

    2. Click the Customers toolbar button Customers.gif or click the Merge > Customers menu bar command.

      Repopulates the grid preparatory to merging on customer records, not on companies or vehicles.

    3. Click the Vehicles toolbar button Vehicles.gif or click the Merge > Vehicles menu bar command.

      Repopulates the grid preparatory to merging on vehicle records, not on customers or companies.

  3. Click the Retrieve List toolbar button Reports.gif or click the Fill Grid > Retrieve List menu bar command.

    Displays the list of the selected CRM record if it was previously generated by Fuzzy!Double.

Exporting the Displayed List into a CSV File that is Loaded into MS Excel

After export the list is stored as a CSV file that can be imported in Excel. A windows dialog box is displayed to save the exported list.

To export the displayed list into a CSV file that is loaded into MS Excel:

  1. On the master menu, select CRM > [Company] > Reports & Enquiries > Database Cleansing Menu > Deduplication Utility.

    The Database Cleansing form is displayed.

  2. Do one of the following (a, b or c):

    1. Click the Companies toolbar button Company.gif or click the Merge > Companies menu bar command.

      Repopulates the grid preparatory to merging on company records, not on customers or vehicles.

    2. Click the Customers toolbar button Customers.gif or click the Merge > Customers menu bar command.

      Repopulates the grid preparatory to merging on customer records, not on companies or vehicles.

    3. Click the Vehicles toolbar button Vehicles.gif or click the Merge > Vehicles menu bar command.

      Repopulates the grid preparatory to merging on vehicle records, not on customers or companies.

  3. Do one of the following (a or b):

    1. Click the Generate List toolbar button or click the Fill Grid > Generate List menu bar command.

      The DQ Sensor calculation program runs and displays a list of possible duplicates of the found CRM records.

    2. Click the Retrieve List toolbar button Reports.gif or click the Fill Grid > Retrieve List menu bar command.

      Displays the list of the selected CRM record if it was previously generated by Fuzzy!Double.

  4. Click the Tools > Export menu bar command.

    A windows dialog box is opened to store list.

  5. Save the file in a certain directory with the suggested name or you can define a name yourself.

    After this it is possible that Excel is opened and displays the exported file of duplicates.

Tip: Check if the correct entries are available in Export facilities.

Printing the Displayed List

When you use the Print option in menu Tools, the Vehicle duplicates (MK), Customer duplicates (MK) or Company duplicates (MK) form is displayed.

In the parameters is set which reports are printed per CRM record type. The report lists the CRM records of a specific type with identified duplicates

To print the displayed list:

  1. On the master menu, select CRM > [Company] > Reports & Enquiries > Database Cleansing Menu > Deduplication Utility.

    The Database Cleansing form is displayed.

  2. Do one of the following (a, b or c):

    1. Click the Companies toolbar button Company.gif or click the Merge > Companies menu bar command.

      Repopulates the grid preparatory to merging on company records, not on customers or vehicles.

    2. Click the Customers toolbar button Customers.gif or click the Merge > Customers menu bar command.

      Repopulates the grid preparatory to merging on customer records, not on companies or vehicles.

    3. Click the Vehicles toolbar button Vehicles.gif or click the Merge > Vehicles menu bar command.

      Repopulates the grid preparatory to merging on vehicle records, not on customers or companies.

  3. Do one of the following (a or b):

    1. Click the Generate List toolbar button or click the Fill Grid > Generate List menu bar command.

      The DQ Sensor calculation program runs and displays a list of possible duplicates of the found CRM records.

    2. Click the Retrieve List toolbar button Reports.gif or click the Fill Grid > Retrieve List menu bar command.

      Displays the list of the selected CRM record if it was previously generated by Fuzzy!Double.

  4. Click the Tools > Print menu bar command.

    Depending on the Customer Duplicates (MK) form, Company Duplicates (MK) form or Vehicle Duplicates (MK) form is displayed, to print the displayed list based on the selected output type.
