Automatically create new purchase orders

The program will, depending on the parameter settings, automatically create a new purchase order, while importing, when the order number in the confirmation order file is not found in Purchase Control. The part lines on this order are creating on the moment these confirmation order lines are linked to this new purchase order.

When you open the header, you will notice two things, In the Dealer transfer info field the text DO NOT ORDER! Is filled in and the internal text field is filled with a warning.

Remark: A new order line can only be created when the part is available in the stock or price file. In case of a supersession is it possible that the 'ordered' part is not available on the price and stock file. Also has the parameter Automatically create a new order been ticked.

Search for existing purchase orders

When the matching purchase order is not found, it is possible to manually search for an order in Purchase Control module. This option is only available when you have the PC order no. selection selected.

This because the order numbers that are shown in the example below are the purchase order number from the delivered file and they do not match with the order numbers from Purchase Control.

If the order is not found in Purchase Control, you get the possibility to search for an order by selecting the Binoculars button.

After you have selected the Binoculars button, the Select Purchase order screen is opened.

From this window it is possible to select one of the purchase orders from Purchase Control or you can create a new Purchase order.

After you have selected the order, press the Select button. When you want to create a new order, type the order number in the New order number field and select the Create new button.

Note: When an orderline has the text DO NOT ORDER in the Transfer reference field, the order is created by the Order Confirmation program. This means that the parts on the order have already been received, so do not send the file as an order to the manufacturer.
