Audit Log Detail

A single-left-click on any row within the Audit Log audit grid displays the Audit Log Detail form which displays the audit details in a more user-friendly form in addition to displaying a little more information.

To view the audit log detail:

  1. From the Master Menu, select the Vehicle rentals option and Company required.

    The VEHICLE RENTALS Menu is displayed.

  2. Select the Reservations option.

    The Reservations and Availability form is displayed.

  3. Select the Audit Log option from the Admin menu.

    The Audit Log form is displayed.

  4. Single-left-click on any row within the Audit Log audit grid.

    The Audit Log Detail form is displayed.

Audit Log Detail form

This form is divided into three parts that are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of other useful identification criteria and buttons.

Audit Log Detail Dialogue Box

The Audit Log Detail dialogue box contains the following fields:

Agreement Number: Displays the unique agreement number for which the audit log is currently being viewed.

Magic Number: The unique sequential record number generated for each audited field event in the log.

Amended Field Name: Displays the actual field name used within the agreement file for the field that has changed.

Field Occurrence: Displays the occurrence number of the field. Some fields are held within an array in which there are more than one occurrence of the field. A classic example of this is the address field which has five occurrence for each line of the address. Unless the field is an example of an array type field then this value is typically 1.

Field Description: A more user-friendly description of the field name.

Before Change: The value of the field before it was edited. In some instances this may be blank i.e. the Registration field is blank for a vehicle is allocated to an agreement.

After Change: The value of the field after it was edited.

Date Changed: The date on which the field was edited.

Time Changed: The time at which the field was edited.

System Change: Contains a Y or N value. An N value denotes that the edit occurred due to user intervention. A Y denotes that the change to the field value was initiated by the system in response to a previous manual user edit.

Note: The system only tracks system changes if the Include system changes flag is ticked within the Supplier/Misc Tab in System Parameters.

By user id: The user login id of the user who modified the field value.

COMMAND BUTTONS:

OK: Returns to the Audit Log form.

Notes: If the system is set up to capture audited comments for the reason for change then this command button is enabled. Selection of this command button results in the display of the Audit Reason form; this form displays the reason for change comment captured via the Audit Reason form which pops-up when specific fields are changed within an agreement.

Note: The facility for capturing audit reason comments is only enabled if the Audit text pop-up flag is ticked within the Supplier/Misc Tab in System Parameters.
