This form allows a booking that exists within one vehicle rental company to be transferred to another rental company within the same rental system. If a booking is made for one rental company and it is subsequently discovered that a vehicle is not available at this location then this function facilitates the transfer of this booking to a suitable sister company. This function may only be used within a multi-company environment.
This option is only enabled if the Booking transfers allowed flag is ticked within the Supplier/Misc Tab within System Parameters. There is also an associated priority required to make the booking transfer; this is the Booking transfer priority which is also located within the Supplier/Misc Tab in System Parameters.
Note: This menu option is only enabled when the agreement is at a Booking status. It is at this status that the booking is quite generic (i.e. does not contain specific data such as vehicle registrations, etc) and therefore appropriate for transferring. It must also be noted that the selected hire group and tariff type must exist in the company to which the booking is to be transferred.
To transfer a booking:
From the Master Menu, select the Vehicle rentals option and Company required.
The VEHICLE RENTALS Menu is displayed.
Select the Reservations option.
The Reservations and Availability form is displayed.
Select the Transfer Booking option from the Tools menu.
The Transfer Booking form is displayed.
This form is divided into three parts that are as follows:
In addition to displaying the form name the Title Bar provides a number of other useful identification criteria and buttons.
The Transfer Booking dialogue box contains the following fields:
Available Companies: Displays a list of other vehicle rental companies existing on the multiple-company system. Both the company code and associated description are displayed for each rental company.
COMMAND BUTTONS:
OK: Displays a warning prompt: Are you sure you want to transfer this booking to company ?? (where ?? denotes the selected company code). Selection of the OK command button results in the display of a confirmation message: Booking #?? successfully transferred to company ?? booking #??. The old agreement has been closed (where the first #?? represents the booking/agreement number in the current rental company and the second #?? represents the new booking/agreement number in the company to which the booking has been transferred. As the message states, the original booking is closed down (and has a status of Closed) in the existing company whilst a new booking/agreement number is created in the company to which it is transferred; the new booking number simply uses the Next Agreement Number count held within System Controls.
Cancel: Returns to the Agreement form without transferring the booking.
Help: Provides online access to context sensitive help for the current application using the default browser.
