Vehicle Rentals CRM Records

The Vehicle Rentals module functionality is vastly increased when supported by CRM defaults held against the company, driver and vehicle records. This additional functionality is provided by attaching an extra file to each of the basic CRM company, customer and vehicle records.

Tip: Enable vedv1 for the Vehicle details form (although depending upon what system is being used these forms may not necessarily have to be enabled).

To access CRM Vehicle Rental Details Tab:

  1. From the Master Menu, select the Vehicle rentals option and Company required.

    The Vehicle Rentals menu is displayed.

  2. Select the Reservations option.

    The Reservations and Availability form is displayed.

  3. Select the New icon.

    The Open Agreement form is displayed.

  4. Locate the required agreement using the appropriate selection criteria and select the Open command button.

    The Rental Agreement form is displayed.

  5. Select the crm.gif icon.

  6. Select the Vehicle menu option.

  7. Select the Edit icon

  8. Select the Vehicle Options menu.

  9. Select the Vehicle Rental option.

  10. Select the Rental Details Tab.

Vehicle Rental Details Tab form

This form holds important information regarding vehicle grouping and location, etc.

Note: A rental vehicle record (MK.drveh) is only created if both the Owning DR Company and Hire Group fields are populated.

Group details:

Hire group: The major hire group to which the vehicle is allocated. The Drop-down button search facility is available to help you locate the correct group code. This field is very important to the daily operation of the rental system. Hire Group codes are set up within Miscellaneous Options.

Group extension code: A code allowing the identification of a sub-group (if used) that the vehicle belongs to. For example, all 35T trucks could be put into a group of V35T; however, a group extension code of T, could be used to indicate all vehicles in group V35T which have a tail lift. The group extension code is then visible (as the last character within the Group column) as an aid to selection within the Allocation Summary form.

Rental Status:

Owning DR Company: Denotes which Vehicle Rentals company number this vehicle belongs to. Multi company operations must select the required Vehicle Rental Company number which then sets this company as being available within this company.

Last rental agreement: The last rental agreement number to which this vehicle was allocated. This field is maintained automatically by the system.

Start date: The start date of the last rental agreement number to which this vehicle was allocated. This field is maintained automatically by the system.

Date returned: The date the vehicle was returned from the last rental agreement to which this vehicle was allocated. This field is maintained automatically by the system.

Tip: If the field is blank but the Start date field contains a value it means that the vehicle is currently out on hire.

Last rental date: The date of completion of the last rental agreement.

Mileage last rental: The mileage recorded at the end of the last rental agreement to which this vehicle was allocated.

Available for hire: A checkbox which, if ticked, denotes the vehicle is included within the reservations table. This must be set in order for the vehicle to be available for hire.

On fleet date: The date that the vehicle first become available for rental.

Last rental date: The date at which the vehicle is no longer considered as part of the rental fleet i.e. after disposal.

Last DR service date: The date of the last service

Last service mileage: The odometer reading taken at the last service.

Location:

Owned by location: The location code which is regarded as the owner of this vehicle. The Drop-down allows the required location to be selected.

Tip: When a Movement has been Finished the system updates the Owned by location to the new location (for the purposes of revenue, etc). However, there is a Keep Ownership flag within the Supplier/Misc Tab that enables ownership to be retained by the original location.

Currently at: The location code at which the vehicle finished its last rental agreement or to which the vehicle has been moved via the Movement Log. This field is updated by the system. The Drop-down allows the required location to be selected.

Damage:

Current damage: Details of the last damage recorded in the Damage details field (within the Start Rental and Finish Rental operations within an agreement) for this vehicle.

Costs:

Capital cost: The estimated capital cost for the vehicle.

Current book value - (Value for Insurance purposes): The insurance value of the vehicle or the current written down value of the vehicle. This is a reference value only.

Factored cost:

Fridge details:

Fridge diesel hours: The current odometer reading (if applicable) for diesel fridge hours on this vehicle.

Fridge electric hours: The current odometer reading (if applicable) for electric fridge hours on this vehicle.

Crosshire details:

Available to Company: The rental company to which this vehicle has been made temporarily available though an internal cross hire.

Rental agreement: The crosshire rental agreement on which the vehicle was made available.

Start date: The date on which the above detailed agreement commences.

Date returned: The date on which the above detailed agreement finishes.

Last rental mileage: The mileage applicable to the above detailed agreement.

Daily rate: This is the daily rate paid if the vehicle is hired in from a third party supplier. It is automatically populated with a value if the external hire option is used to create this vehicle record.

Order number: The order number given to the third party supplier to hire the vehicle in.

Supplier account: The Purchase ledger supplier code denoting from whom the vehicle was hired. This field is completed automatically by the system.

Crosshire on fleet: The dates on which the vehicle was made available during the internal crosshire.

Crosshire off fleet: The date on which the vehicle ceased being available during the internal crosshire.
