Additional Quote Details

This form holds and displays Location, Charges, Road Fund Licence and O Licence Details.

What do you want to do?

To access the Additional Quote Details form:

  1. From the Master Menu, select the Vehicle rentals option and Company required.

    The VEHICLE RENTALS Menu is displayed.

  2. Select the Reservations option.

    The Reservations and Availability form is displayed.

  3. Select the Quotation icon.

    The Create Quotation form is displayed.

  4. Select the Open or File new icon.

  5. Select the Additional Details icon.

Additional Quote Details form

This form is divided into three parts that are as follows:

Title Bar

In addition to displaying the form name the Title Bar displays a number of other useful buttons.

Additional Quote Details Dialogue Box

The Additional Quote Details dialogue box consists of the following information areas:

Out location: The location from which the vehicle is to be hired. The Drop-down button to the right of this field may be used to select an alternative valid location for the vehicle rental company. This field is not mandatory but may be usefully populated and carried forward to the full booking/agreement.

Tip: The location code (e.g. LIV - Liverpool) defaults-in from the user login id. The user id is set-up within System Utilities / Management Menu / User Details and the location code is selected in the Personal Tab of this form.

Note: The location code (e.g. LIV - Liverpool) must first be set-up within System Utilities / Management Menu / Locations and then must also be defined within Vehicle Rentals / Miscellaneous Options / Locations Link as a valid location for the current daily rental company.

Return location: The location to which the hired vehicle is to be returned. The Drop-down button to the right of this field may be used to select an alternative valid location for the vehicle rental company. This field is not mandatory but may be usefully populated and carried forward to the full booking/agreement.

Charges: The charges table displays a list of charges (and associated descriptions)currently held in the Charges table within Miscellaneous Options. A click anywhere on the required charge line places a tick in the third column of the table denoting that this charge is required for the quotation. The charge is then automatically added to the Charges & Rates Tab.

Note: If Our Insurance is selected in the Insurance field then the CDW charge is automatically selected by the system.

Road Fund Licence: A series of three mutually exclusive option/radio buttons allowing selection that enable selection of the appropriate address to which the Road Fund Licence is to be delivered (for long term rentals, etc) i.e. Either the address held on SL Account, the address held against the CRM Customer, or the Delivery address held against the quotation itself.

RFL Address: The full 5 line address to which the RFL is to be sent.

RFL Postcode: The postcode to which the RFL is to be sent.

RFL Telephone: The telephone number of the address to which the RFL is to be sent.

O Licence: A free format area for holding details relating to the customer's Operator's Licence.

Note: If present, the O Licence details are pulled through from the CRM Rental Company (MK.drcom) file. Any details entered within this form are also saved back to the CRM Rental Company (MK.drcom) file.

Evidence Received: A checkbox which, if ticked, denotes that the O Licence for this customer has been seen and validated and they can therefore hire vehicles (commercial) that require an operator's licence. If this flag is not ticked and a hire group is selected which requires an O licence then the subsequent rental agreement cannot be started.

O Licence Expiry: An expiry date may be entered within this field for when the O Licence is to be renewed. If within an agreement for which an O Licence is applicable, and the expiry date has passed, the system displays a warning and the agreement cannot be progressed.
