Locations Link

This form is used where a central reservations function is used. It allows the linking of individual location codes to a specific Vehicle Rental Company number. i.e. a central reservations area may be making bookings for a dispersed number of rental depots such as Sheffield, Liverpool, Manchester, etc.

Once this table is established a person making a booking from within Central Reservations determines the location required for the hire then this table allows the booking to be made against the correct company. If the location is not not linked to the rental company within this table then the location is not considered valid and no bookings can be made for this depot.

Tip: In order to create location codes within this table they must first exist in the GB.locations file. This is done by using the Locations menu option which is found in System Utilities/Management Menu.

To access location links:

  1. From the Master Menu, select the Vehicle rentals option and Company required.

    The VEHICLE RENTALS menu is displayed.

  2. Select Miscellaneous options.

    The MISCELLANEOUS OPTIONS menu is displayed.

  3. Select the Locations link option.

    The Locations link form is displayed.

The Location link form is displayed when the Locations link option is selected from the MISCELLANEOUS OPTIONS menu.

New location codes may be created, amended, displayed, deleted or searched. The [...] may be used to select the required Location code field.

The Amend option is covered below during which the content of each of the fields held against the location code record are explained:

Location: The three digit location code e.g. LIV (this must first exist in the GB.locations file).

Company Number: The vehicle rental company to which this location is a valid rental depot.

Admin location: A three digit location code e.g. HOF (this must first exist in the GB.locations file) to denote the head office location responsible for the depot location above. This may be used to determine the destination of any printed correspondence, etc.
