Prior to issuing an approval the correct vehicle or agreement must first be located. This may be done in a number of ways. Upon entry to the
Maintenance Control form, the ellipsis button immediately to the right of either the Reg No or Agreement field is used to initiate the Fleet Global Search (Alternatively, the icon may be used). This form is utilised to locate, select and open a particular vehicle record by way of a number of alternative selection criteria methods. Following selection of the required vehicle the Maintenance Control Tab covering the top half of the form, is populated with the appropriate data taken from Fleet Global Review.
The Tab is comprised of two sections. The top section provides general information regarding the selected vehicle whilst the bottom section displays contract details. The Tab remains visible for many maintenance control operations precluding the need for the maintenance controller to switch forms in order to access general information. The system default form includes the following details.
Vehicle Details Group

Status: The status of the vehicle record e.g. Invoiced.
Vehicle: The full vehicle variant description.
Reg Date: The registration date of the selected vehicle.
RFL: The Road Fund Licence renewal date.
Driver: The driver i.e. the target record attached to the agreement/vehicle. The driver may be attached to the agreement via Contract Review driver icon.
Motor Club: Motor Club Cover Type e.g. AA Roadside Assistance & Homestart
MOT: The MOT expiry date.
Warranty: The vehicle warranty expiry date.
Relief Category: Relief Vehicle Cover Type e.g. 24 Hour
Next Sched Event: If the vehicle is attached to a service schedule then this field displays the next planned event on that schedule.
Last Serviced: The date on which the vehicle was last serviced. This field is populated after the servicing approval item is posted.
At: The odometer reading taken for when the vehicle was last serviced. This field is populated after the servicing approval item is posted.
Agreement Status Group:
Agreement: The contract agreement number of the currently selected vehicle e.g. 100045
Agreement Status: The agreement type of the currently selected vehicle e.g. Primary
Customer: The name of the customer currently in possession of the vehicle.
Term: The period of hire e.g. 36 (months)
Start Date: The agreement start date.
End Date: The expected agreement end date.
Days Remaining: Expected number of days remaining for the current contract.
Lease Type: The contract Lease Type e.g. Contract Hire With Maintenance
Lease Def'n: This is a legacy of the Rev 7 system and although a Definition needs to be selected within Fleet System Management it is not used as this is now controlled within the Fleet Quotations product. The lease definition not have to be selected within the quotation itself although /Convert Quote and Contract Upload prompt for it.
Invoiced: The number of months hire currently invoiced e.g. 12
Current: The current contract month e.g. 11
Age: The current age of the vehicle in months e.g. 13. The age is based on the vehicle registration date. If the vehicle is new and does not have a registration date then this field is blank. If the vehicle has a registration date then the value is set to the rounding of today's date minus the registration date, divided by 30.4375. This provides an approximation for the vehicle age to the nearest month.
Current Odo Contract: The calculated "estimated" odometer reading for the displayed number of months into the contract.
Current Odo Vehicle: An estimated figure based on readings taken whilst processing maintenance approvals and invoices.
Current Odo Excess: The current excess or under mileage calculated from the difference between the Actual Odo Contract and the Current Odo Vehicle reading.
At End Odo Contract: Contracted maximum odometer reading.
At End Odo Vehicle: Projected estimate of odometer reading at the end of the contract based upon maintenance (or other) mileage postings.
At End Odo Excess: The projected excess or under mileage for the end of the contract based upon the difference between the At End Odo Vehicle and At End Odo Contract.
Actual Odo Contract: The contractual mileage currently allowed.
Actual Odo Vehicle: The actual mileage of the vehicle, as per the odometer reading.
