MAINTENANCE ORDER PRINT

Overview

Selection of the Print option from the Approval Menu or, the icon from the toolbar, in the Maintenance Control form opens the Maintenance Order Print form from which an approval may be printed.

The formal printed approval looks in two areas to compose the document:

Firstly, the appropriate format e.g. K01 is allocated to the print order routine in the Order format field within the Printing & Limits Tab of System Controls. Defined within the format are each of the items that are normally selected during the construction of an order.

Secondly, it looks to the text blocks which are selected within this process. These text blocks are setup within the Document Text Blocks option within the Miscellaneous Options menu and allow the standardisation of the text used for orders.

This form is split into four parts that are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of other useful identification criteria and buttons.

Menu Bar

The content of the Maintenance Order Print menu bar is dependent upon the particular process that is being accessed. The full menu bar contents, however, are as follows:

Exits to the Maintenance Control form.

Enables production of a printed order for the approval currently on form.

Provides online access to a context sensitive Help form.

Toolbar

As with the menu bar, the content of the Maintenance Order Print toolbar is dependent upon the particular process that is being accessed. The full toolbar contents, however, are as follows:

Exits to the Maintenance Control form.

Enables production of a printed order for the approval currently on form.

Provides online access to a context sensitive Help form.

Maintenance Order Print Dialogue Box

This is a simple dialogue box and contains the following fields:

Prompts selection of a code and associated block of text to be used within the printed order. These text blocks are set-up within the Document Text Blocks option within the Miscellaneous Options menu and allow the standardisation of the text used for orders.

Alternatively, clicking-into the Order Text box allows entry of the required text manually.

The textual description associated with the selected block of text code.

The pre-keyed text for the selected code.

Following selection of the required text block, the icon is selected. A small pop-up menu is displayed containing the following options:

Enables production of a test print on the currently selected printer in order to make sure that the paper is aligned correctly. If the align option is selected the system produces the test print and then repeats the same menu again.

Produces the order on the currently selected printer. Once the print is complete the system returns to the Maintenance Control form.

Following production of the order the system updates the Order Printed field in the Invoice Details Tab.

Note: The system can be set-up to automatically prompt to print approval/purchase orders if an approval is raised which exceeds a certain value. The Automatic Print At field within System Controls contains the estimate level which triggers an automatic approval/purchase order print option. (The default value for this field is 500).
