Selection of the Purge Overdrive Authorisations option from the Overdrive Interface Menu opens the Purge Overdrive Authorisations form.
Tip: This process is one in a number of disparate options carried out within the Overdrive process. To understand how each option functions within the overall process please view the Overdrive Sequence help file.
The billing file will continually be filled up by importing repair records. It is therefore necessary to purge old records from time to time. This housekeeping routine therefore has been written to purge the billing file of old records. The Days To Hold Imports field within the Overdrive Tab in Maintenance Control / System Maintenance / System Parameters holds a value showing the number of days to hold a posted billing record before it is deleted.
In addition to displaying the form name the Title Bar provides a number of other useful identification criteria and buttons.
The content of the Purge Overdrive Authorisations menu bar is as follows:
Purge
Purges billing files older than the number of days specified within System Parameters.
Exit
Exits the form to the Overdrive Interface Menu without purging billing tables.
Provides online access to a context sensitive Help form.
The content of the Purge Overdrive Authorisations toolbar is as follows:
Exits the form to the Overdrive Interface Menu without purging billing tables.
Purges billing files older than the number of days specified within System Parameters.
Provides online access to a context sensitive Help form.
This area of the form simply contains a description of what is achieved by initiating the Purge Overdrive Records routine. The description is as follows:
This process will remove all posted Overdrive records that are over a certain number of days old, specified in System Parameters.
This option is available through the menu process but may also be placed within Timed Operations as an overnight timed event.
Note: Records which have a status of X and have a value in the import date (which determines that they can be deleted) are purged from the file.
When the purge is initiated this area of the form confirms that it is taking place by displaying the message "Purging Overdrive Records".
