VEHICLE ADMINISTRATION

Overview

Selection of the Vehicle Administration option from the Maintenance Control Main Menu or the vehadmin.gif icon from the Toolbar opens the Vehicle Administration form. This form facilitates the entry of several minor administration tasks.

This form is split into four parts that are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of other useful identification criteria and buttons.

Menu Bar

The content of the Vehicle Administration menu bar is as follows:

Save

Saves any data amendments and returns to the Maintenance Control form.

Exit

Exits to the Maintenance Control form. If any data changes have been made the system prompts "Some details have been changed. Do you want to save these changes?". Select the Yes or No command button as appropriate.

Provides online access to a context sensitive Help form.

Toolbar

The content of the Vehicle Administration toolbar is as follows:

Vehicle Administration Dialogue Box

The Vehicle Administration Dialogue Box contains several data entry fields and a grid for displaying odometer changes. The fields contained are as follows:

The date on which the vehicle warranty expires.

By clicking-on the ellipsis (...) button to the right of either of the date fields a monthly diary form is displayed in order to assist in establishing the correct date criteria. Selection of the< button moves to the previous month and the> button moves to the next month. Selection of Exit exits the diary form. A double-click on the appropriate day of the month enters this date into the date field.

The date on which the vehicle MOT is due to be renewed.

By clicking-on the ellipsis (...) button to the right of either of the date fields a monthly diary form is displayed in order to assist in establishing the correct date criteria. Selection of the< button moves to the previous month and the > button moves to the next month. Selection of Exit exits the diary form. A double-click on the appropriate day of the month enters this date into the date field.

The current odometer reading.

The date on which the current odometer reading was taken.

By clicking-on the ellipsis (...) button to the right of either of the date fields a monthly diary form is displayed in order to assist in establishing the correct date criteria. Selection of the < button moves to the previous month and the > button moves to the next month. Selection of Exit exits the diary form. A double-click on the appropriate day of the month enters this date into the date field.

This grid displays incidences of odometer replacements carried out on the current vehicle. The grid contains the following columns of information:

  • Vehicle Magic

The unique number created for this vehicle record.

  • Replaced

The date on which the odometer is replaced. Probably the repair date on the invoice being analysed.

  • Odometer

The last recorded reading of the previous odometer.

  • Created

The date on which the replacement odometer is recorded on the system.

  • Description

Free-format text denoting why the odometer is replaced.

A single-left-click anywhere within this grid displays a sub-form which enables entry of odometer replacement details. The following data entry fields are contained within the form:

The last recorded reading of the previous odometer.

Free-format text denoting why the odometer is replaced.

The recorded reading on the replacement odometer.

When the form is saved these details are returned back to the Odometer Replacement Grid and the New Reading becomes the Current odometer reading.

Note: Odometer replacement details are very important. They are used at the end of the contract to calculate "Excess/Under" charges. Accurate readings therefore must always be entered.
