System Parameters (Service Schedules Tab)

Overview

The Service Schedules Tab is used to define general top-level system defaults for the Service Scheduling process.

To access the System Parameters Service Schedule Tab:

  1. From the Master Menu, select the Vehicle Administration option and Company required.

    The Vehicle Administration menu is displayed.

  2. Select the System Maintenance option.

    The FB System Maintenance menu is displayed.

  3. Select the System Parameters option.

    The System Parameters General Tab is displayed.

  4. Select the Service Schedules Tab

Service Schedules Tab Dialogue Box

The following fields are displayed:

Schedule Late Days: The number of days following a scheduled event that a service schedule item is determined as late (this has been superceded by the Valid Days After and On Time Within Days fields within the Service Schedule Template Header form.

Schedule Max Age: The maximum age for which a schedule can be created. This can be any value from 1 to 255 months. (For use when schedules are created automatically)

Schedule Max Odo: The maximum odometer reading for which a schedule can be created for a typical vehicle. (For use when schedules are created automatically)

Extra Days to Sched: When creating the schedule the system generates a schedule for the contract term starting from the registration date. If this field is populated the system adds an additional number of days to the schedule to the value that is held here.

Schedule Recalc Flag: It is possible to recalculate schedules after their initial generation. This is dependent upon whether the Recalculate Schedule flag is ticked within the the Service Schedule Template Header form. If this field is ticked then the recalculation can take place at a particular stage of the approval; the following option codes may be entered here:

I Recalculation takes place at the time of the approval Issue.
P Recalculation takes place at the time the approval is Posted.
B Recalculation takes place at Both of the above processes.
N Recalculation Never takes place.

Priority to Make/Break Links: The priority required to create or break a service schedule link with a vehicle. A value between 1 and 8 is applicable.

Default validity period: The number of days an item is valid from (This has been superseded by the Valid From Days in the Service Schedule Template Header form.

End of Day Options

Note: These parameters determine designed for removing, recalculating and extending service schedule events that are controlled by the Service Schedule Housekeeping option.

Minimum no. of open events: The minimum number of open events to keep in the schedule. The system continues to automatically extend the schedule for the life of the vehicle. If a value of 100 is entered here then the system ensures that there are always 100 future events scheduled. Prior to this parameter being set the system would schedule the required number of events for the life of the initial agreement plus a given number of days. The automation of this process does away with the need to manually extend schedules for each agreement.

Minimum open schedule length: Whereas the previous parameter always ensures that there is an absolute minimum number of schedule events generated this parameters defines a number of months of scheduled events that must always be automatically generated.

Delete events after n days: Automatically deletes missed events that are older than the number of days held within this parameter. For example, at take the system generates schedules from the Registration date of the vehicle onwards. However, some of the registration dates may be several years old and as such many missed events will be generated. This function automatically deletes these events and does away with the need to manually delete the missed scheduled events for each agreement.

Re-calc schedule: A checkbox which, if ticked, automatically recalculates schedules based on daily mileages as an end of day process. The system is continually calculating an estimated odometer usage based on the registration date and the latest odometer reading/date taken held against the vehicle. From this it can calculate a daily odometer distance travelled and therefore calculate the date on which the next odometer scheduled event is to take place. This parameter is monitoring this process continually and automatically updating the scheduled event date based on the latest odometer readings taken against the vehicle.
