Credit Information Setup

Overview

This option may be used by the credit control department to ensure that vehicles for new customers are not purchased without prior credit authority given. The process has most effect in the fleet quotations module, specifically in the Convert Quote form, in that the system will check the customer record prior to allowing the vehicle to be progressed. The check is made against the Credit Code which is defined here and held in the Contract Admin 2 Tab of the customer address group (accessed by selecting the Income Outstanding command button). The system inhibits the progress of the vehicle record at the convert quote stage, prior to vehicle purchasing, for customers until the credit code has been attached by an authorised user in the credit department.

Note: If the Credit Code field is blank within the company address group then the convert quote process is inhibited with the message: Customer has no credit. However, there is an override of the stop message for users with a high enough priority (the Credit Limit field in the Credit Tab within System Controls). If the override option is taken then an audit event is written in to the audit log detailing the user and the date and time of the override.

The credit limit may be defined for specific lease types but there is also a catch-all ALL REMAINING LEASE TYPES facility (accessed by leaving the Lease Type blank) which can be used to cover all lease types or simply any credit remaining once credit limits have been defined for all specific lease types.

To access Credit Information Setup:

  1. From the Master Menu, select the Contract Administration option and Company required.

    The Contract Administration Menu is displayed.

  2. Select the Miscellaneous Options option.

    The Miscellaneous Options Menu is displayed.

  3. Select the Credit Codes option

    The Credit Information Setup form is displayed.

This form is divided into four parts that are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Credit Information Setup Dialogue Box

This form contains the following fields:

Credit Code: The [...] button search facility may be used to locate and edit an existing credit code. To create a new credit code type-in the name of the new code within this field and then use the Lease Type/Credit Limit grid to define the code further.

Lease Type/Credit Limit Grid:

Lease Type: Once a new credit code description has been entered in the Credit Code field, a single-left-click within this field presents the Create Lease Type Split form that enables a Lease Type to be selected for the allocation of a credit limit to that specific lease type.

Lease Type Description: The full lease type description associated with the selected lease type code.

Credit Limit: The credit limit that is allocated to the lease type within the Create Lease Type Split form.
