USAGE MANAGEMENT FORM

Overview

A single-left-click on a row within the Usage Management Grid (contained within the Usage Tab) presents the Usage Management Form which enables the creation and subsequent administration of vehicle usage records for a selected driver. This process allows monitoring of start and end mileage dates and odometer readings to be used for P11D information relating to the selected vehicle and driver(s).

This form is split into four parts that are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of other useful identification criteria and buttons.

Menu Bar

The content of the Usage Management Form menu bar is as follows:

Save

Saves any data amendments and returns to the Usage Tab.

Exit

Exits to the Usage Tab.

Provides online access to a context sensitive Help form.

Toolbar

The content of the Usage Management Form toolbar is as follows:

Usage Management Form Dialogue Box

The Usage Management Form Dialogue Box contains the following data:

The Usage Type field denotes the the type of usage for the date and odometer readings entered. Selection of the Drop-down button immediately to the right of this field presents a list box of pre-determined Usage Types which are as follows:

A series of six fields. The first field contains the full driver name and declaration. The following seven lines contain the full driver address taken from the customer record.

The date on which the individual driver commenced using the vehicle.

By clicking-on the [...] button to the right of the date field a monthly diary form is displayed in order to assist in establishing the correct date criteria. Selection of the < button moves to the previous month and the > button moves to the next month. Selection of Exit exits the diary form. A double-click on the appropriate day of the month enters this date into the appropriate date field.

The odometer reading at which the individual driver commenced using the vehicle.

The date on which the individual driver ceased using the vehicle.

By clicking-on the [...] button to the right of the date field a monthly diary form is displayed in order to assist in establishing the correct date criteria. Selection of the < button moves to the previous month and the > button moves to the next month. Selection of Exit exits the diary form. A double-click on the appropriate day of the month enters this date into the appropriate date field.

Vehicle Details Tab

This tab displays the basic details of the current vehicle as follows:

The vehicle registration number. This field cannot be edited.

Displays the Franchise code for the vehicle associated with the current contract under review e.g. FO(Ford). This field cannot be edited.

Displays the Model code for the vehicle associated with the current contract under review e.g. MONDEO. This field cannot be edited.

Displays the Variant code for the vehicle associated with the current contract under review e.g. FO000126. This field cannot be edited.

The engine cubic capacity size.

Denotes the fuel type used by the vehicle e.g. D Diesel. This data is typically imported from the vehicle data supplier.

Replacement/Previous Details Tab

This tab is only enabled if the appropriate Usage Type is selected i.e. Vehicle/Hire/Replacement or Previous Vehicle. This tab allows entry or review of previous/replacement vehicle details to be entered.

The vehicle registration number. Selection of the [...] button displays the Known Vehicles form from which the appropriate vehicle may be selected.

The vehicle registration date.

The P11D taxable value of the vehicle.

Co2 being the Carbon Dioxide emissions of the engine

In an attempt to protect the environment, a major reform in the taxation of company cars was announced by the Chancellor on 9th March 1999. The package of reform, which took effect from April 2002, encourages manufacturers to produce cars with lower carbon dioxide emissions.

The previous income tax charge based on 35% of the car's price, subject to business mileage and age-related discounts, is now abolished. This has been replaced by a charge on a percentage of the car's price graduated according to the level of carbon dioxide emissions.

Data suppliers such as David Henley Systems and CAP are now providing this data at variant level.

Displays the full vehicle variant description for the vehicle associated with the current contract under review e.g. Volkswagen Passat 1.9 Highline TDI 130 4dr.

The engine cubic capacity size.

Denotes the fuel type used by the vehicle e.g. D Diesel. This data is typically imported from the vehicle data supplier.
