Overview
This enables a new agreement record to be created. The contract may be created manually (via a manual input wizard) or by importing an existing quotation from the Kestrel Quotation system (FQ).
To access the create contract option:
From the Master Menu, select the Fleet Kompact option and Company required.
The Kestrel Kompact Menu is displayed.
Select the Contract Management option.
The Contract Management form is displayed.
Select the
icon.
The Create Contract form wizard is displayed so that a new agreement may be created by way of either an existing fleet quotation or manual input.
This is the first form to be displayed within the wizard sequence.
Create Contract (Customer) Dialogue Box
The Create Contract (Customer) Dialogue Box contains the following fields:
CRM Customer: Selection of the
button immediately to the right of this field displays the Marketing Customer Search form that enables access to the marketing company record maintenance form so that the required CRM company may be selected for the agreement. Provided this record is set up correctly the remaining fields within this form are automatically populated.
Customer: The customer's main name and address details are held within the CRM system. This record is then accessed as often as necessary by a company record which contains associated data relating to specific operational areas. The first field contains the company record code (for example, MINERVA) associated with the CRM company record. The second field displays the company name associated with the company record code.
Note: If the Kompact customer record does not exist the system prompts: FK Company record ?????? (where ?????? denotes the Customer Code) does not exist. Would you like to create it.. Selecting the Yes command button the Kompact customer record may be created on-the-fly whether the new agreement is being generated manually or via a fleet quotation (by inputting the required customer information).
Tip:This field may be used as an alternative search selection method to the CRM Customer field above.
Title/Initials: A series of four fields containing the title, initials, first name and surname of the main contact at the company. Populated automatically following selection of the required company.
Customer Name: Displays the full CRM company name.
Company Address: Displays the full CRM company address. There are five lines of address information.
Postcode: Postcode for the CRM company.
Main Phone: Contains the main company telephone number.
Other Phone: This field may contain an alternative work telephone number.
Fax Number: Contains the appropriate fax number, utilising the same format as above. It is extremely important that this is entered, as documents can now be auto-faxed to the customer on completion.
Other Number: A field for containing any appropriate additional number for example, telex number (if applicable).
Driver CRM Contact: Selection of the
button immediately to the right of this field enables access (via the Allocate Driver form) to the CRM Customer record maintenance form so that the appropriate driver may be selected for the vehicle associated with the agreement.
