Manual Agreement Creation Process

There are two mutually exclusive ways to create an agreement. It may be initiated through Kestrel Fleet Quotations or manually input. The Kestrel quotation may be generated within Kestrel Fleet Quotations manually or by loading a showroom quotation.

What do you want to do?

The following step by step process should be followed:

Access the Manual Agreement creation option

  1. From the Master Menu, select the Fleet Kompact option and Company required.

    The Kestrel Kompact Menu is displayed.

  2. Select the Contract Management option.

    The Contract Management form is displayed.

  3. Select the open2.gif icon.

    The Create Contract form wizard is displayed so that a new agreement may be created by way of either an existing fleet quotation or manual input.

    The manual input process is available for the input of values that are pre-calculated via an external source. A series of five forms are displayed in the form of a wizard prompting entry of the correct data for establishing a valid agreement.

  4. Select the Manual input radio/option button then select the Next command button.

Customer/Driver Input form

  1. A company can be selected from either CRM or from a Kompact Customer details record.

    Select a CRM company record by enter the Company magic number or search using the [...] button to search for a company record via the Marketing Customer Search form.

  2. If a Driver is required use the [...] button to search for a customer via the Allocate Driver form.

  3. Select the Next command button.

Vehicle Input form

  1. A vehicle can be selected from either an existing CRM vehicle record or from Franchise Data.

    Select a CRM vehicle record by enter the vehicle magic number or search using the [...] button to search for a vehicle record via the Vehicle Search form.

    Tip: Once a vehicle has been selected the system enables the process to continue (i.e. the Next command button is enabled) and details such as Colour, Trim, Chassis No, Engine No, Registration, etc can be entered later after the agreement has been created.

  2. The [...] may be used to locate the required Colour and Trim values. (If these files are not resident then the values may be entered manually).

  3. The Chassis and Engine number fields are free format and hold up to a maximum of 30 and 20 characters respectively.

  4. The List Price value is defaulted in by the system but can be over-written.

  5. The OTR, P11D and Residual fields are optional free-format fields.

  6. The Net RV (Net residual) is based up on the Residual value (entered previously) and can either be Net of VAT or gross, depending on the Qualifying status of the vehicle.

  7. The Co2 value is defaulted in when the vehicle is initially selected but can be over-written.

  8. The Registration number and Registered date can be entered now (if known) or later.

    Note: If the vehicle is selected via CRM, the Registration is defaulted-in automatically.

  9. The Start Odo and Used Vehicle flag can be entered now (if known) or later.

    Note: If the vehicle is selected via CRM, these values may be defaulted-in automatically.

  10. The Vehicle type (Either Private, Commercial or Heavy) is defaulted-in when the vehicle is initially selected, but can be changed.

  11. The Qualifying flag must be entered now because it cannot be changed later.

  12. The Engine CC and Fuel type are defaulted-in when the vehicle is selected but can be changed.

  13. Factory Fitted options can be selected by ticking the box next to the relevant option.

  14. Dealer Fitted options can be created by right-clicking anywhere on the grid column header and selecting the Create menu option.

  15. On completion of vehicle input select the Next command button.

Contract Details Input form

  1. Enter the Product code directly or use the [...] button to select from a list of available codes.

  2. Enter the Posting Table directly or use the [...] button to select from a list of available Posting Tables.

  3. The Period (in months) is a mandatory field.

  4. Use the Drop-down button to select the required contract Frequency from a drop-down menu.

  5. Enter the contract Profile; the first two fields are based on the number of periods and the third is always months: the 1st field is the number of advance rentals; the 2nd field is the number of regular rentals; and the 3rd field redisplays the month in which the number of regular rentals begin.

  6. Use the Contract Services icon to display the Contract Services form that enables selection from the current list of available Contract Services codes.

  7. Enter the totalContract distance value.

  8. Enter the Excess distance pence per mile rates. (There can be up to 3 rates, with 2 break points).

  9. Enter the Under distance pence per mile rates. (There can be up to 3 rates, with 2 break points).

  10. Enter type the RFL, Motor Club or Relief Vehicle codes (if applicable) directly or use the [...] buttons to locate the appropriate tables.

  11. On completion of product details input select the Next command button.

Rental/Budgets Input form

  1. Enter both the Initial and Regular rental values for both the Finance and Service splits by simply clicking into the appropriate cell within the Rentals Grid.

    Tip: Use the TAB key to move to the next appropriate cell.

    Note: This grid can hold up to six lines of product splits for example, Insurance, etc. Lines are only displayed if the product split is applicable.

  2. Enter the required budget values into the appropriate Budget cells within the grid by simply clicking into the appropriate cell within the Budgets Grid.

Note: System divides the total budget value by the period of the contract to automatically populate the corresponding Period cells.

  1. In the Interest field enter the total interest to be paid over the period of the agreement.

  2. In the Depreciation field enter the monetary amount the vehicle depreciates over the period of the agreement.

  3. In the Overheads field enter any additional overhead costs that are to be included within the agreement.

  4. In the Profit field enter the total profit contained within the agreement.

  5. The Total Rentals and Total Budgets fields are automatically calculated.

  6. The Total Costs field is automatically calculated as the value of the Total Budgets field plus Other budgets (for example, Interest, Depreciation, Overheads, Profit, etc).

  7. The Total Costs values must equate to the Total Rentals values and therefore balance the Balance field to zero. It is possible that the agreement cannot be started if the agreement does not balance; this is dependent upon whether the Agreement Must Balance checkbox is selected within the selected Product table.

  8. Select the Next command button.

Summary form

  1. This form simply displays a brief summary of certain details entered within the previous four forms.

  2. Select the Finish command button.

Contract Management Form

  1. The system returns to the Contract Management form and a prompt confirms that Agreement ????? created (where ????? is the agreement number).

  2. Select the OK command button and the agreement is opened within the Order Tab in Edit mode.
