This tab is displayed when you select Kompact Fleet > Contract Management and then select the Order tab. The Contract Management Accounting Sidebar - Order Icon is made up of several tabs, as follows:
This tab enables selection of the vehicle supplier and review/edit of quotation/order costs.
To access the Order Tab:
Select Fleet Kompact option and Company required from the main menu.
The Kestrel Kompact Menu is displayed.
Select Contract Management.
The Contract Management form is displayed.
Select the
shortcut from the menu on the left of the form.
The Order Tab is displayed.
Invoice Grid:
This group box holds the invoice prices for the vehicle and may be edited. The fields shown are initially brought through from the quotation, if one was used to load the contract, else they are blank. There are four columns relating to each field within the grid. These columns are as follows:
Description: The description for each invoice price.
C: A checkbox which, if ticked, denotes that the invoice line is a cash item.
Quote: The values brought through from the original quotation or manual agreement input.
Order/Invoice: This field may be edited for each invoice item line if it differs from the original value. The default value for this field mirrors the original Quote value.
Invoice Grid Line Items:
The following invoice price lines are displayed within the grid:
Vehicle List: The vehicle list price.
Factory List: The total cost of factory fitted accessories.
Dealer List: The total cost of dealer fitted accessories.
Total Discount: The total discount amount.
Dealer Bonus: The bonus given by the dealer and available for the vehicle within the agreement.
Manuf Bonus: The manufacturer's volume related bonus available for the vehicle within the agreement.
Delivery: The cost of delivery.
Plates: The cost of plates.
Vehicle Sub-total: Vehicle List + Factory List + Dealer List - Total Discount - Invoice Bonus + Delivery + Plates. This line is displayed in blue text.
Total VAT: The VAT amount due on the vehicle cost. The VAT rate used is displayed in parentheses e.g. (Standard).
RFL Fee: The initial cost of the first Road Fund Licence.
Reg Fee: The registration fee cost.
Total Invoice: Vehicle Sub-total + Total VAT + RFL Fee + Reg Fee.
Ordered Group:
Ordered: A checkbox which, if ticked, denotes that the vehicle order has been placed.
VRB to reclaim: The Volume Related Bonus value to be reclaimed on the order. This field can be edited.
Reclaim Bonus: A checkbox which if ticked denotes that the VRB is reclaimed directly from the manufacturer.
VRB Capitalised: Difference between reclaimed and retained values and used to reduced the actual capital cost of the vehicle/
Bonus Value Retained: How much of the reclaimed bonus is to be retained.
Edit Bonus: When selected, displays the Bonus History form for creating bonus for different scenarios.
Variance
Variance Net: The difference between the quoted cost and the invoiced cost. This is posted to a variance account defined in the system parameters.
Variance VAT: The difference between the quoted VAT and the invoiced VAT. This is posted to a variance account defined in the system parameters.
Variance Total: The total amount of variance to be posted. This line is displayed in blue text.
Specification Grid
The group box holding the vehicle specification holds the following nine columns:
Description: The full individual specification item description e.g. Satellite Navigation.
C: A checkbox which, if ticked, denotes that the selected item has been ordered and purchased separately as a cash item.
Quoted: Displays the original quoted list price of the individual specification item.
Ordered: Displays the actual ordered list price of the individual specification item.
Main Supplier: Displays the main supplier code for the individual specification items.
Item Supplier: Displays the supplier code for the individual specification items if this varies from the main supplier. If this does not vary from the main supplier then the main supplier code is displayed again.
Posted: Displays a tick if the individual specification item cost has been posted, else this column is blank.
Prog: Displays a post-it icon if the individual specification item holds progress notes against it i.e. a progress code has been entered for this item within the Progress form. All progress records are then subsequently displayed within the Progress Tab.
P: Displays a tick if the individual specification invoice has been printed, else this column is blank.
Each item may be viewed or edited by using a single-left-click of the mouse on the appropriate specification line. The Vehicle Specification form is displayed showing the specification details.
Note: If edit mode was activated when the form was called the specification details may be edited, otherwise they are only shown in review mode.
