Details 2 Tab

Overview

This tab is present for All Company Types and enables basic invoice and agreement details to be allocated against the company record.

To access the Company details 2 tab:

  1. From the Master Menu, select the Fleet Kompact option and Company required.

    The Kompact Menu is displayed.

  2. Select the Miscellaneous Options option.

    The Miscellaneous Options form is displayed.

  3. Select the Company Details option.

    The Company Details form is displayed.

  4. Select the Details 2 Tab.

Details 2 Tab Dialogue Box

The following fields are contained within the Details 2 Tab:

Invoice Account: The customer record must be linked to the appropriate Sales Ledger account that is used for invoicing this customer. Select the [...] button immediately to the right of the Invoice Account field. To perform a search for the required SL Account. Within the search field in the Customer Accounts form enter sufficient descriptive text to identify the required account (uppercase characters must be used). Following selection of the Shortname command button a list box is presented displaying all the Sales Ledger records that meet the entered selection criteria. The required record should be highlighted/selected and the OK command button selected. The account code and associated description are now displayed in the Invoice Account field.

Master Date: If applicable, the date at which the Master Contract (to which all new agreements are linked) becomes valid.

Master Agreement: The correct master agreement number (if applicable).

Invoice Format: The format stationery code to be used for the generation of invoices to this customer.

Invoice break on Cost Centre A checkbox which, if ticked, denotes that this customer requires invoices to be split by cost centre. This uses the cost centres that are set up in the Cost Centre table within Miscellaneous Options and allocated against an agreement in the Cost Centre field in the Agreement Tab.

Recharge RFL: The Drop-down button is used to select the appropriate method required for recharging Road Fund Licence costs to this customer. A list box is displayed presenting the current valid options from which to select.

Recharge invoice by: Regno: As the standard, Kompact currently prints out all Recharge invoices on one invoice format. However, rental companies also require the facility to automatically print off recharge invoices individually by Registration number for each individually posted item. This flag and the Recharge invoice by: Item flag work in conjunction with each other to enable a number of recharge printing options (the second flag is only enabled if the this flag is ticked). The invoicing process looks at these flags and print the recharge invoices as follows:

If this checkbox is ticked and the Recharge invoice by: Item flag is blank then all transactions for a Registration No. are printed on the same invoice.

If this checkbox is ticked and the Recharge invoice by: Item flag is also ticked then a recharge invoice is printed out for each individual transaction.

If both flags are left blank then one invoice is printed out for all recharge transactions for all Registration Nos.

Recharge invoice by: Item: Ensures that a recharge invoice is printed out for each individual transaction

Service Schedule Day: A checkbox for each day od the week to denote which days of the week are applicable to this repairer when generating service schedule dates for the scheduled maintenance planner.

Sched Recalc Private: If a scheduled service date is missed then the schedule can auto recalculate itself to re-arrange date. This checkbox denotes that it is valid for PLG type vehicles to have their schedules automatically recalculated.

Sched Recalc Comm: If a scheduled service date is missed then the schedule can auto recalculate itself to re-arrange date. This checkbox denotes that it is valid for commercial vehicles to have their schedules automatically recalculated. This is less likely than for PLG type vehicles as they may have to adhere to strict schedule dates.

Planner Type: The printed planner format. This is obsolete as there is only one format currently.

Planner Range Works: Denotes how far in future the planner is to be generated for e.g 52 weeks.
