CONTRACT REVIEW (COSTS SUMMARY TAB)

Overview

Accessed via Contract Review and selection of the Costs Summary Tab.

Selection of the Costs Tab enables a review of the maintenance budget and actual figures split by their constituent parts. These splits are determined by the cost summary letter attached to the maintenance history records (these in turn are dictated by the cost summary letter attached to the Reason code used when processing the maintenance item). These figures can be displayed as Pence per mile figures by clicking on the check box indicating this and similarly the radio buttons allow the data to show Maintenance summary or Life costs.

The bottom section of the form summarises the finance repayments and general income on the contract.

This data is obtained primarily from the FM.msumm file.

Note: If the Inc. open apps in Cost Summary parameter is ticked in the General 2 Tab of System Parameters then the summary build routines includes open approvals in the summary totals displayed within this form; if unticked then the routine to populate the maintenance cost summary record only accumulates values from the maintenance history file.

Costs Summary Tab Dialogue Box

The Costs Summary Tab Dialogue Box contains the following data fields:

Grid Options

A series of three mutually exclusive option buttons and a checkbox:

A checkbox which, if ticked, converts the absolute costs values within the Costs Grid into pence per mile costs.

The original budgeted value for this cost element

The actual current spend for this cost element?

The total costs that are recharged to the customer for this cost element.

The variance between the Budget cost value and the Actual cost value.

The variance between the Budget (to-date) value and the Actual (to-date) value expressed as a percentage.

A straight line extrapolation of the total maintenance spend for the full period of the contract, for the cost element, based on the Actual (to-date) value.
