CONTRACT REVIEW (CUSTOMER TAB)

Overview

Accessed via Contract Review and selection of the Customer Tab.

The Customer tab displays the main CRM company and customer records attached to the contract using the address group shown in the middle of the form. The data at the bottom of the form displays the credit control position for that customer and to what (if any) cost centre the chosen contract is allocated.

This data is obtained primarily from the FM.group, MK.compy, MK.targt and FC.check files.

Customer Tab Dialogue Box

The Customer Tab Dialogue Box contains the following fields:

Customer

The unique sequential CRM magic number automatically allocated by the system to this customer record.

The customer's main name and address details are held within the CRM system. This record is then accessed as often as necessary by an address group record which contains a number of associated sub-records each relating to specific operational areas or modules. This field contains the address group code (e.g. MINERVA) associated with the CRM company currently being viewed.

Displays the full CRM company name.

Displays the full CRM company address. There are five lines of address information.

The Postcode for the CRM company.

Contains the main company telephone number. Immediately to the right of this field is the Other Telephone field held on the CRM record which holds an alternative work telephone number, utilising the same format as above.

Contains the appropriate fax number, utilising the same format as above. It is extremely important that this is entered, as quotations can now be auto-faxed to the customer on completion.

Customer

The right side of this Tab contains information relating to the primary customer associated with this company.

The unique sequential CRM magic number automatically allocated by the system to this customer record.

Displays the full CRM customer name of the primary customer associated with this company.

Displays the full CRM customer address. There are five lines of address information.

The Postcode for the CRM customer.

Contains the customer's home telephone number. Immediately to the right of this field is the Work Telephone field held on the CRM record which holds an alternative work telephone number for the customer.

Contains the customer's fax number, utilising the same format as above. It is extremely important that this is entered, as quotations can now be auto-faxed to the customer on completion.

Address Group Details

The current credit balance calculated by the system according to the settings determined in the Tabs within the address group Credit Control option. This field cannot be edited.

The credit limit established for the selected customer.

The Maximum credit limit. The Credit Limit( above) may be overridden by a pre-determined priority level up to this maximum amount.

The date that the Current Balance was last calculated and amended. This field cannot be edited.

A checkbox which, if ticked, places the customer on stop without the necessity of placing the Sales Ledger account on stop. This may be of use where the Sales Ledger account is used by more than one Fleet customer.

The cost centre (if applicable) linked to the address group associated with the current customer. This is populated by selection of the Allocate Cost Centre option from the Tools menu within Contract Review.
