CONTRACT REVIEW (VEHICLE TAB)

Overview

Accessed via Contract Review and selection of the Vehicle Tab.

Selection of the Vehicle Tab enables the review of the constituent parts of the vehicle specification, renewal dates, service scheduling and vehicle rental information.

In most cases this data is retrievable from the FM.motor file (Vehicle master records).

The bottom right-hand corner of this form shows all the vehicle specification details line by line. Any of these lines can be selected for further information about that specification item.

Vehicle Tab Dialogue Box

The Vehicle Tab Dialogue Box contains the following fields:

The full franchise description imported from the default data source or (in the case of Vehicles which are created manually) the description which has been entered in the Full Name field (Main Details Tab in the Franchise Details menu option within the Franchise Data module).

The full model description imported from the default data source or (in the case of Vehicles which are created manually) the description which has been entered in the Description field (Details Tab in the Model Codes menu option within the Franchise Data module).

The full vehicle variant description imported from the default data source or (in the case of Vehicles which are created manually) the description which has been entered in the Descriptions: VSB/SR field pf the Details Page 1 Tab in the Model Variants menu option within the Franchise Data module).

Two fields which display firstly the colour code and secondly the colour description of the vehicle.

The variant code imported from the default data source.

The chassis number of the selected vehicle.

The engine number of the vehicle.

The trim style supplied to the vehicle.

A checkbox which, if ticked, denotes that the vehicle is VAT qualifying.

The date that the vehicle is registered. On the basis of this date the system defines the MOT, RFL and Warranty dates.

The MOT due date calculated on the basis of the Registered date.

The warranty expiry date calculated on the basis of the Registered date.

The road fund license renewal date calculated on the basis of the Registered date.

The date on which the system last has a record of the vehicle odometer reading.

The contracted annual distance for the agreement to which the selected vehicle is attached.

The start odometer reading of the contract. This is used by the system when determining excess mileage at termination.

The motor club renewal date.

Displays the total P11D price for the selected vehicle and options. This may be updated by selection of the Miscellaneous Fleet Details option from within the Tools Menu.

Displays the Co2 emission rating provided by the default data supplier. This may be updated by selection of the Miscellaneous Fleet Details option from within the Tools Menu.

The unique sequential CRM magic number automatically allocated by the system to this vehicle record.

A checkbox which, if ticked, denotes that this vehicle is included within an excess/under distance pool for the associated customer. If any excess distance is accrued, for example, then this is accumulated within the pool and not calculated on a single vehicle basis.

A checkbox which, if ticked, denotes that this is a used vehicle.

The unique key number for the selected vehicle. This may be updated by selection of the Miscellaneous Fleet Details option from within the Tools Menu.

The installation code for the radio, cassette or CD player which may be occasionally required. This may be updated by selection of the Miscellaneous Fleet Details option from within the Tools Menu.

An "internal" fleet number.  Some companies, for example, run all of their vehicles on their own site and as such do not require registration plates. In this case, they may choose to identify the vehicles in their own way e.g. van001, etc. This may be updated by selection of the Miscellaneous Fleet Details option from within the Tools Menu.

A checkbox which, if ticked, denotes that the log book has been viewed. This may be updated by selection of the Miscellaneous Fleet Details option from within the Tools Menu.

Only applicable to companies who utilise and wish to add vehicles to their Vehicle Rental Fleet. The rental company into which the vehicle is allocated.

Only applicable to companies who utilise and wish to add vehicles to their Vehicle Rental Fleet. The rental group code into which the vehicle is to be grouped.

The volume related bonus still to be reclaimed on this vehicle from the manufacturer.

If the VRB has been reclaimed on this vehicle from the manufacturer then this field displays the date on which it is reclaimed.

The fuel type code applicable to the vehicle e.g. Petrol, Diesel, etc.

The Cubic Capacity of the engine (e.g. 1800) for the selected vehicle.

Displays the code for the service scheduling group to which the vehicle belongs.

A checkbox which, if ticked, denotes that the vehicle is currently included within service scheduling. This flag is useful for reporting purposes.

The date on which the structured service scheduling work is to commence. This typically mirrors the contract start date.

The odometer reading on which the structured service scheduling work is to commence.

The full supplier name for the supplier of this vehicle. The supplier is allocated in the Order Tab within the Vehicle Purchasing module.

The Specification Grid contains a row for the vehicle specification and subsequent row for each specification item on the vehicle. The following details are displayed:

The full vehicle variant or specification item description.

A single-left-click within this column displays a Vehicle Specification sub-form which enables the specification to be viewed in more detail.

Note: If the View Vehicle Financials Priority priority is set within the Details Tab of System Parameters in Fleet System Management then, if the user does not have sufficient priority, the financial information contained within this field is withheld and a series of asterisks is displayed.

The quoted list price for the vehicle variant or specification item.

A single-left-click within this column displays a Vehicle Specification sub-form which enables the specification to be viewed in more detail.

Note: If the View Vehicle Financials Priority priority is set within the Details Tab of System Parameters in Fleet System Management then, if the user does not have sufficient priority, the financial information contained within this field is withheld and a series of asterisks is displayed.

Displays the current order status for the vehicle specification or individual item within the specification e.g. (I Invoiceable).

A single-left-click within this column displays a Vehicle Specification sub-form which enables the specification to be viewed in more detail.

Note: If the View Vehicle Financials Priority priority is set within the Details Tab of System Parameters in Fleet System Management then, if the user does not have sufficient priority, the financial information contained within this field is withheld and a series of asterisks is displayed.

A checkbox which, if ticked, denotes that the vehicle specification or individual item within the specification has technical details attached.

A single-left-click within this column displays a Technical Details sub-form which enables the specification to be viewed in more detail.
