Accessed via Contract Review and selection of the Pending Tab.
Selection of the Pending Tab enables a review of all transactions generated within the fleet system corresponding to the chosen contract. This includes sales invoice items, purchase invoice items and budgetary postings. The records are colour coded according to their status code that varies as it is processed through the posting cycle as follows:
Code Colour Description Blank Default New pending invoice item, unvalidated V Green Validated item (all account codes etc are valid) H Red Held item (items that don’t fail validation are changed to Held status) B Brown Batched item awaiting printing P Black Printed item awaiting posting to accounts X Blue Item has been successfully posted to the accounts system
Each record can be detailed by clicking on the appropriate line. Held items can also be edited (at priority) to correct the fields that failed validation.
By clicking on the column headings for Invoice Type or Status the records can be sorted accordingly.
This data is retrievable from the FC.ipend file.
Tip: A single-left-click on the required record row within the grid displays an expansion of these details within the Ipend Details form.
Note: If the View Vehicle Financials Priority priority is set within the Details Tab of System Parameters in Fleet System Management then, if the user does not have sufficient priority, the financial information contained within this form is withheld and a series of asterisks is displayed. This relates to invoice types 13 (bonuses), 14 (Discount), 16 (vehicle /accessory purchases), 29 (Vehicle stock) and 86/87 (invoice register vehicle purchases).
