CONTRACT UPLOAD

Overview

The Contract Upload process is available for the input of values that are pre-calculated via an external source rather than the Fleet Quotations module.

Contract Upload enables the creation of an agreement into the Fleet system, utilising the set-up and background tables that exist in Fleet Quotations and the Convert Quote options that link the various tables in the Fleet System. Contract Upload does all of this in one operation.

Contract Upload can also be used to load agreements such as Sale & Leaseback and Fleet Management contracts.

There are a number of Tabs which require information to be input to create the agreement satisfactorily; the final option being to view the Budget lines that will be created in the Profi file.

Warning: Remember this information is used to create an agreement in the Fleet system so it should be accurate.

The Contract Upload form is split into five parts that are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Menu Bar

The content of the Contract Upload menu bar is dependent upon the particular process that is being accessed. The full menu bar contents, however, are as follows:

New

Clears existing data and refreshes the form for selection of a new record.

Save

The Contract Upload record can be partially completed, saved, and returned to at a later date. This option saves the existing data input for the current record so that it can be retrieved for completion when additional required information is obtained. The import record cannot be saved until the toolchk.gif icon is used to generate the budgets.

Exit

Exits the Contract Upload form and returns to the Quotations Main Menu. The system prompts Are you sure that you want to exit without saving? if any amendments have not been saved.

This menu provides access to the following options:

Ancillary Contract Details

The purpose of the Ancillary Contract Details form is that for some contracts additional contract information may well need to be stored. The logic here is that the customer specific fields are not held in the standard software but are created in the ancillary forms/files. There is a file for the vehicle (FM/caanc) and one for the agreement (FM/aganc). These forms must be set up prior to use.

Ancillary Vehicle Details

The purpose of the Ancillary Vehicle Details form is that for some contracts additional vehicle information may well need to be stored. The logic here is that the customer specific fields are not held in the standard software but are created in the ancillary forms/files. There is a file for the vehicle (FM/caanc) and one for the agreement (FM/aganc). These forms must be set up prior to use.

This menu option provides access to a number of reports (and Quick Mail - a pre-defined email relevant to the specific area from which it is accessed). Once written within RepGen an [...] button may be used to located and select these reports for inclusion within this menu list within the appropriate area column in the Quick Reports Tab within Fleet Quotations / System Maintenance / System Parameters. The required email format for inclusion in this menu list is defined within ??? Quick Mail field (where ??? denotes the appropriate area).

This menu option provides access to the following options:

Administrator

Accesses the ADP Administrator mail and diary functions.

CRM

Accesses the ADP CRM module and its associated Company, Customer and Vehicle records.

Provides online access to a context sensitive Help form.

Contract Upload Dialogue Box

The Contract Upload Dialogue Box displays a series of Tabsthat contain information relating to specific areas of the contract. The five Tabs are as follows:

Selection of the Customer Tab enables a review of three groups of data which relate to the Customer, Primary Targetand Address Group information.

Selection of the Details Tab enables set-up of the required contract product details for the selected Contract Upload record.

Selection of the Vehicle Tab enables a review of the constituent parts of the vehicle specification (including options), list price, RV, vehicle registration and MOT renewal dates.

Selection of the Excess/Under Rates Tab enables the input of excess/under distances and rates and specific excess rules for the selected Contract Upload record.

Selection of the Budgets Tab enables set-up of the required contract rental and budget details and the generation/review of the required budget profi lines for the selected Contract Upload record. The Budgets Tab is initially unavailable (dimmed)until the Details Tab has been visited.

Status Bar

Displays a textual description of information that may be currently relevant for example, field name, import number, etc.
