Quotation Search

This form is utilised to locate, select and open a particular quotation by way of a number of alternative selection criteria methods.

To search for an existing quotation:

  1. From the Master Menu, select the Fleet Quotations option and Company required.

    The Quotations Main Menu is displayed.

  2. Select the Quotations option.

    The Quotation formis displayed but currently disabled.

  3. Select the New icon.

    The Quotation Search form is displayed.

  4. Locate the required quotation by entering the appropriate selection criteria and select the File Search icon.

    A list of quotation records matching the required selection criteria is displayed in the Quotations grid in the bottom half of the form.

  5. Select the required quotation with a double-left-click of the mouse.

    The full enabled quotation form is displayed for the required quotation.

    Tip: A maximum of 17 records matching the selection criteria can be immediately displayed within the form. Use the scroll bar to view additional matching records (if applicable) or, alternatively, narrow the selection criteria down further to reduce the list of matching records.

Quotation Search form

This form is split into six parts, which are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Menu Bar

The contents of the Quotation Search menu bar is as follows:

Returns to the primary Quotation form saving any data amendments.

Provides online access to a context sensitive Help form.

Toolbar

The contents of the full toolbar are as follows:

Exit returns to the primary Quotation form saving any data amendments.

Clears the current selection criteria allowing input on new selection criteria.

Confirms the required quotation search criteria and proceeds with the quotation search.

Provides online context sensitive help information to the user

Quotation Search Dialogue Box

There are a number of selection criteria fields that may be used individually or in conjunction with each other in order to locate the required quotation(s).

Selection of the [...] button to the right of the Customer field enables the selection of a specific company (by way of the Customer Marketing Customer Search word search facility) for which quotations can be displayed. This is particularly useful in conjunction with other selection criteria fields.

If known, the Quote Number (omitting any leading zeros) is entered directly into this field and the icon selected. The Quotations form, displaying the required quotation, is then displayed in the normal way.

If an existing quotation is amended then a new quotation number is generated. However, each successive edited quotation will retain the same unique Quote Reference number. An audited log will be kept of each edit (changes currently monitored are edits made to maintenance and residual values) by way of this Quote Reference number. This field enables a search to be made on the Quote Reference number and all linked quotations are displayed in the Selection Display area.

Selection of the [...] button to the right of the Driver Number field enables the selection of a specific customer/driver (by way of the Customer Marketing Customer Search word search facility) for which quotations can be displayed. This is particularly useful in conjunction with other selection criteria fields.

There are two fields available here so that a range of quotation numbers - "From" and "To" - can be entered for the quotation selection criteria.

A number range is entered which ensures that the system searches for all quotations created on and between the "From" and "To" numbers.

A date range is entered which ensures that the system searches for all quotations created on and between the "From" and "To" dates.

By clicking-on the ellipsis (...) button to the right of either of the date fields a monthly diary form is displayed in order to assist in establishing the correct date criteria. Selection of the < button moves to the previous month and the > button moves to the next month. Selection of Exit exits the diary form. A double-click on the appropriate day of the month enters this date into the appropriate date field. Tab or click with the mouse to move to the "To" date field.

Clicking the down-arrow button for this field produces a drop-down list displaying the various quotation statuses:

Live (Quoted)

Accepted

Lost Business

Proposal

Deleted

Clicking on the required option enters the appropriate status into the dialogue box. A search is performed on these criteria. e.g. If A is entered the system displays all "Accepted" quotations.

Clicking in this Check Box, and ticking this option, displays all of the quotes produced on the current day. Clicking again deselects the option.

Clicking in this Check Box, and ticking this option, displays all of the quotes produced by the user who is currently logged-in. Clicking again deselects the option.

Selection Display

Once the required selection criteria is entered, the Selection Display section of the form displays all quotations meeting the selected criteria and provides the following data:

Quote No

The unique quotation number e.g. 0001983

Date

The date on which the quotation is created.

Time

The time at which the quotation is created.

Exec

The User ID of the Salesman/user against whom the quotation is generated.

Customer

Displays both the target contact name and the name of the customer for whom the quotation is generated.

Product

The product description used within the quotation e.g. Contract Hire with Maintenance.

Profile

Displays the Finance Profile e.g. 3 33 2.

Status

The current status of the quotation e.g. Afor Accepted.

Quote Ref.

If an existing quotation is amended then a new quotation number is generated. However, each successive edited quotation will retain the same unique Quote Ref number. This unique Quote Ref is displayed here.

If the List Box contains more quotations than the box can display, the form presents a Scroll Bar which is operated in a number of ways:
