This Tab is utilised to add, delete or exclude vehicle(s) within the ratesbook by searching at manufacturer, model and variant level or by using the advanced vehicle selection criteria options.
The Vehicle Tab is divided into a number of discrete areas which are as follows:
The two columns displayed within the list box area are as follows:
- Description
Displays the appropriate vehicle selection(s) for the ratesbook at either manufacturer, model or variant level.
- Exc
A tick in this column denotes that the listed manufacturer, model or variant is to be excluded from the ratesbook selection criteria.
A double-left-click of the mouse on the first row of the list box immediately invokes the Ratesbook Multiple Vehicle Selection form which is utilised to locate and select the appropriate vehicle(s) for the ratesbook by searching at manufacturer, model and variant level. A double-click of the mouse returns the required selection to the Vehicle Description List Box.
Alternatively, a single right-click of the mouse on the first row of the Vehicle Description List Box presents a small Pop-up Menu Box which displays the following wider selection of options:
- Add
A single-left-click of the mouse selects this option and the Ratesbook Multiple Vehicle Selection form is displayed. This form is utilised to locate and select the appropriate vehicle(s) for the ratesbook by searching at manufacturer, model and variant level. A double-click of the mouse returns the required selection to the Vehicle Description List Box.
- Exclude
As above, a single-left-click of the mouse selects this option and the Ratesbook Multiple Vehicle Selection form is displayed. This form is utilised to locate and exclude the appropriate vehicle(s) for the ratesbook by searching at manufacturer, model and variant level. A double-click of the mouse returns the required exclusion to the Vehicle Description List Box where it is identified by the presence of a tick within the Exc column.
- Delete
If vehicle selection criteria has not been input then this option is initially greyed-out. Following selection of a Franchise, Model or Variant, then this option is used to delete a single entry from the Vehicle Description List Box.
- All Vehicles
Selection of this option creates an entry of All Vehicles within the Vehicle Description List Box and a ratesbook is generated that includes every vehicle
- Delete All
If vehicle selection criteria has not been input then this option is initially greyed-out. Following selection of more than one Franchise, Model or Variant, then this option is used to delete all entries from the Vehicle Description List Box. Selection of this option presents a Ratesbook Vehicle Setup pop-up box displaying the following message:
Delete Current Vehicle List. Continue?
Two command buttons are available for selection. Selection of the Yes command button deletes all current selections and returns to the Vehicle Tab of the Ratesbook form. Selection of the No command button retains all current selections and returns to the Vehicle Tab of the Ratesbook form.
Situated to the right of the Vehicle Description List Box this is an area which is utilised for more advanced selections. The following fields are available as selection criteria:
- Current Vehicles Only
This is a facility allowing the Availability Type to be defined for the vehicle selection within the ratesbook quotation. If the checkbox is selected (ticked) then only current vehicles will be used within the vehicle selection. If the checkbox is deselected then all vehicles, including non-current, will be selected.
- Body Styles
Selection of the ellipsis (...) box directly to the right of this field presents a Body Style Selection list. The list is presented in alphabetical order and the following selections are currently available:
Coupe/Convertible
Estate
Hatchback
Pick-up
Roadster
Saloon
Station Wagon
Van
A single-click with the mouse highlights the required body style and selection of the OK command button confirms this choice. The Cancel command button cancels any selection and returns to the Ratesbook form. The None command button is used to ignore all selections and return to the Ratesbook form.
- Doors
Selection of the ellipsis (...) box directly to the right of this field presents a Doors Selection list. The list is presented in numerical order and the following selections are currently available:

- Fuel
On selection of the ellipsis (...) box directly to the right of this field a Fuel Type Selection list is displayed. The list is presented in alphabetical order and the following selections are currently available:
Bi-Fuel
Diesel
LPG
Petrol
A single-click with the mouse highlights the required fuel type and selection of the OK command button confirms this choice. The Cancel command button cancels any selection and returns to the Ratesbook form. The None command button is used to ignore all selections and return to the Ratesbook form.
- Transmission
On selection of the ellipsis (...) box directly to the right of this field a Transmission Type Selection list is displayed. The list is presented in alphabetical order and the following selections are currently available:
Automatic
Manual
A single-click with the mouse highlights the required transmission type and selection of the OK command button confirms this choice. The Cancel command button cancels any selection and returns to the Ratesbook form. The None command button is used to ignore all selections and return to the Ratesbook form.
- C.C.
Consists of two fields which provide a "To" and "From" facility, enabling a C.C. "range" to be entered. (C.C. being the Cubic Capacity of the engine). The minimum engine size is entered in the first field and the maximum engine size in the second field. Any vehicles which have an engine size which is equal to or greater than the minimum engine size and equal to or less than the maximum engine size are displayed in the Output Tab.
- Co2
Consists of two fields which provide a "To" and "From" facility, enabling a Co2"range" to be entered. (Co2 being the Carbon Dioxide emissions of the engine). The minimum emissions is entered in the first field and the maximum emissions in the second field. Any vehicles which have emissions equal to or greater than the minimum emissions and equal to or less than the maximum emissions are displayed in the Output Tab.
Note: In an attempt to protect the environment, a major reform in the taxation of company cars was announced by the Chancellor on 9th March 1999. The package of reform, took effect from April 2002, and encourages manufacturers to produce cars with lower carbon dioxide emissions.
The previous income tax charge based on 35% of the car's price, subject to business mileage and age-related discounts, has been abolished. This is replaced by a charge on a percentage of the car's price graduated according to the level of carbon dioxide emissions.
Data suppliers such as David Henley Systems and CAP are now providing this data at variant level.
- Max. Ins Grp
Selection of the down-arrow button directly to the right of this field presents a list of Insurance Groups (ranging from 1-20). A double-click of the mouse highlights and selects the appropriate maximum insurance group to be included within the ratesbook quotation.
- Contains
This facility allows entry of free-format text that assists with identification in a vehicle search. For example, entering the text string hatch auto ghia results in the Output Tab area either displaying or excluding (dependent upon the setting of the icon below) all vehicles containing this text within the vehicle description. Any number of words may be selected within the 50 character field limitation. The context field is not case sensitive.

the Output Tab displays vehicles containing the text entered into the Contains field. However, a single-click of the mouse toggles this icon to
and the Output Tab now excludes vehicles containing the text entered into the Contains field.
Some leasing companies have a requirement to produce a suite of rates books for their customer base that utilise a number of data fields available on the CAP technical data file which is imported as part of the vehicle database update. They have a requirement to filter on certain performance data/fuel parameters and also safety/warranty information; this is provided by the fields below:
- Extra Urban mpg
Consists of two fields which provide a "To" and "From" facility, enabling an urban miles per gallon value "range" to be entered as selection criteria (Values provided by the manufacturers for fuel consumption around town). The minimum Extra Urban MPG is entered in the first field and the maximum Extra Urban MPG in the second field. Any vehicles which have an urban miles per gallon performance which is equal to or greater than the minimum urban mpg and equal to or less than the maximum urban mpg are displayed in the Output Tab.
- Motorway mpg
Consists of two fields which provide a "To" and "From" facility, enabling a motorway miles per gallon value "range" to be entered as selection criteria (Values provided by the manufacturers for motorway fuel consumption). The minimum motorway MPG is entered in the first field and the maximum motorway MPG in the second field. Any vehicles which have a motorway miles per gallon performance which is equal to or greater than the minimum motorway mpg and equal to or less than the maximum motorway mpg are displayed in the Output Tab.
- Motorway mpg
Consists of two fields which provide a "To" and "From" facility, enabling a combined urban and motorway miles per gallon value "range" to be entered as selection criteria (Values provided by the manufacturers for combined fuel consumption). The minimum combined MPG is entered in the first field and the maximum combined MPG in the second field. Any vehicles which have a combined miles per gallon performance which is equal to or greater than the minimum combined mpg and equal to or less than the maximum combined mpg are displayed in the Output Tab.
- Euro NCAP Tests
The European NCAP (New Car Assessment Programme) Test data provides fleet car users with a realistic and independent assessment of the safety performance of vehicles. Current safety ratings codes are as follows:
