The Additional RFL Costs set-up form is accessed via Miscellaneous Options / Product Management / RFL Options and is used to create, edit and delete Additional RFL Cost Types for use within a product.
The form is split into three areas. These are the Titlebar, the Additional RFL Costs Dialogue Box and the column of Command Buttons down the right-hand side of the form.
In addition to displaying the form name the Title Bar provides a number of useful buttons.
To create a new additional RFL cost type select the Create Command Button.
To view or amend an existing additional RFL cost use the following procedure:
The cursor is located in the Additional RFL Cost field prompting selection of the required cost code/description for the purposes of editing an existing additional RFL cost type. A single-left-click of the ellipsis (...) box to the right of this field will display an Additional RFL Costs List Box from which the appropriate additional RFL cost type is selected for the core calculation method (either Contract Hire or another commercial product). This code has a matching description and attached vehicle-type code (displaying either P for Private Light Goods vehicles or C for Commercials). A double-left-click selects and confirms the required Additional RFL Cost (alternatively, single-left-click and select the OK command button).
The Main Details Tab displays a number of details relating to the selected Additional RFL Cost Type which are as follows:
- Description
Displays a free-format textual description for the selected Additional RFL Cost Type e.g. Additional RFL PLG - Capitalised.
- Vehicle Type
This field displays the available default vehicle types for the selected Additional RFL Cost Type. A single-click of the down-arrow to the right of this field enables selection from the current available options:
- P Private Light Goods
- C Commercial
- C Heavy
- Renewable
A checkbox which, if ticked (selected with the mouse), denotes that this cost must be periodically renewed. For example, if the additional RFL cost equates to £ 100 per annum the system automatically calculates £ 300 for a three year contract. This calculation also takes into effect any part periods e.g. 42 months by utilising the Part Period Details below.
- Capitalise 1st Year RFL
A decision must be made whether to reduce the amount of capital financed by the 1st Year RFL value (in the knowledge that this amount will be recouped from the customer at a later date) or, to finance the vehicle inclusive of the 1st Year RFL amount. Selection of this checkbox results in the inclusion of the 1st Year RFL amount within the financed capital. The 1st Year RFL is setup within Misc Price Details form (within Miscellaneous Options).
- Capitalise Reg Fee
A decision must be made whether to reduce the amount of capital financed by the Registration Fee value (in the knowledge that this amount will be recouped from the customer at a later date) or, to finance the vehicle inclusive of the Registration Fee amount. Selection of this checkbox results in the inclusion of the Registration Fee amount within the financed capital. The Registration Fee is setup within Misc Price Details form (within Miscellaneous Options).
- Extra Months RFL
A checkbox which, if ticked, an extra one month is added to the RFL bufget within the quotation; this is typically used if it's not known if the RFL is going to be renewed after the standard 12 months.
- Inflation Factor
Enables the RFL cost to be inflated by a specific percentage from the second year onwards. A value of -100 to 100 may be entered in this field.
Heavy Commercial RFL Costs
- Part Period
The exact part period of Road Fund Licence cover for heavy/commercial vehicles must be entered in this field e.g. 6 for a period of six months.
- Part Period Fee
This field holds the Road Fund Licence cost for the part period of cover.
- Full Period
The exact full period of Road Fund Licence cover for heavy/commercial vehicles must be entered in this field e.g. 12 for a period of twelve months.
- Full Period Fee
This field holds the total Road Fund Licence cost for the full period of cover.
- Registration Fee
The registration fee for heavy commercial vehicles.
A number of command buttons are available. Some buttons are context sensitive and are greyed-out and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:
Exits the Additional RFL Cost Details form and returns to the Product Management menu.
Provides online access to a context sensitive Help form.
Enables the creation of a new Additional RFL Cost Type. Mutually exclusive option buttons allow this to be done in one of the two following ways:
- Blank
Used if a new Additional RFL Cost Type is to be set-up without utilising existing criteria.
- Copy
Copies the values within an existing "nearest match" Additional RFL Cost Type so that only required values need be edited.
Provides the facility for editing the set-up options of the current Additional RFL Cost Type record. No edits can be made to a record until the Amend button has been selected.
Deletes the currently selected Additional RFL Cost Type .
On first accessing the Additional RFL Cost Details form this command button is greyed-out. Following selection of the Amend button the Confirm option then becomes available to enable any edits to be confirmed.
On first accessing the Additional RFL Cost Details form this command button is greyed-out. Following selection of the Amend button the Cancel option then becomes available to enable any edits to be cancelled.
This is not a command button. This box is a way of displaying messages with regard to the status of the current record e.g. "Record Secured OK"
Selection of this button displays a further form that provides an Ad-hoc Report Generator for the creation of quick query reports to form..
Selection of this button displays a further form that provides an itemised display of all the selection criteria for the current Additional RFL Cost Type .
