Asset Conditions Form

The Asset Conditions form is displayed when the Audit Conditions options is selected from the System Maintenance menu.

Use this option on the System Maintenance Menu to set up or amend the Condition Codes Table of the Asset Register. On selecting this option, you will be presented with a form

The following fields are displayed on the Asset Conditions form:

To amend the audit record you see, click on a field. This will enable the Save button and Cancel button. On the right is also the Delete and Create button [Only enabled when NOT in edit mode]. To view more records select the grid button or use the next and previous buttons. If you go to the grid screen and wish to return to the initial screen you saw select the column button. You can use the Sort button along with the Start at field to move straight to a record you have viewed on the grid page or know about already. The Help button displays help in your default browser.

The Condition Code Table is used by the Enter audit details option. This option enables you to input the results of a physical audit of the company's assets to the appropriate Asset Records on the Register. The field on each Asset Record that represents the audited state of the asset is the Condition Code.

When running the Enter audit details option, only a Condition Code value that is amongst those set up with the Asset conditions option may validly be input to the condition Code field on an Asset Record.

Each Code may consist of two alphanumeric characters. Using the Audit conditions option the Condition Codes Table is set up at installation stage in accordance with your company's requirements. Subsequently, the System Manager may amend the Condition Codes, add new Codes or remove existing ones, as required.

If you decide to create a new Condition Code, you are prompted to input its two-character code, followed by its Description, which can be up to thirty alphanumeric characters in length. You can create or delete Condition codes on the column screen (which is the first one you see when entering the option). You need to have selected a Condition code already in existence before you can delete it.

If you decide to access an existing Condition Code, whether to display, amend, or delete it, use the Sort and Start at field to select it.

If you have created a new Code and Description, amended an existing Code and/or Description, or deleted an existing Code and its Description, you may exit from the option either with or without saving the changes you have performed.
