Condition Codes

The condition code shows the reason why an order has changed, and is automatically stored on a part when it is loaded onto a WIP in Point-of-Sale. For example, a part may have been superseded, so a condition code of 9 (Single part supersession, original part not available) may be applied to the part. This is useful for dealer imports and warehouse operations, for example. The condition code is applied to the order reference which is accessed by clicking the References button on the Part Details form in Point-of-Sale, and the description of the condition code is defaulted into the Free text field. The manufacturer's code and user code can be stored against each condition code, which is useful for reporting purposes. Standard functionality exists that allows you to create and maintain records.

To access condition codes:

  1. From the Rev.8 Master Menu, select the Point-of-sale option and Company you require.

    The POINT OF SALE menu is displayed.

  2. Select Miscellaneous options.

    The SO MISCELLANEOUS OPTIONS menu is displayed.

  3. Select the Condition codes option.

    The Condition codes form is displayed.


Condition Codes Form

This form is displayed when you select the Service codes option from the SO MISCELLANEOUS OPTIONS menu. From this form you can create and maintain condition codes.

Code: The up-to 2-character numeric condition code. The following codes are set up as standard on the Autoline system:

01 Non stock part with no stock to fulfill order
02 On price file but not held in stock
03 Unknown part number
04 Mandatory engine number
05 Mandatory VIN number
06 Mandatory assembly number
07 Mandatory key number
08 Single part supersession, original still available
09 Single part supersession, original not available
10 Multi part supersession, original not available
11 Multi part supersession, original still available
12 Alternative part supplied although no supersession
13 Order quantity adjusted to pack size
14 Partial delivery, remainder back ordered
15 Partial delivery, remainder cancelled
16 Part blocked

Details Tab

Description: A description of the standard Autoline condition code. This description is used to update the Free text field in the WIP line group box of the Part Details form, unless a user description of the condition code exists, in which case the user description takes precedence.

User description: The user's description of the condition code. For example, this may be the manufacturer's description. If a user description exists, this is used to update the Free text field in the WIP line group box of the Part Details form, in preference to the standard Autoline description.

User condition code: The user's condition code. For example, this may be the condition code used by the manufacturer.

Mandatory ref pos: This field is only enabled for condition codes 04, 05, 06 and 07. It relates to the four fields in the Mandatory on order group box on the Other tab of the SM System Parameters, and advises the operator that a part cannot be ordered until the required information is input. For example, a chassis number or Vehicle Identify Number (VIN).
