Service Codes

The service codes are used within the Service Point-of-Sale system to indicate whether the vehicle service history should be updated. If a code is entered on the Vehicle tab of the Point-of-Sale form, the vehicle record is updated. The code and description used are also written back to the vehicle contact history. Standard functionality exists that allows you to create and maintain records.

To access service codes:

  1. From the Rev.8 Master Menu, select the Point-of-sale option and Company you require.

    The POINT OF SALE menu is displayed.

  2. Select Miscellaneous options.

    The SO MISCELLANEOUS OPTIONS menu is displayed.

  3. Select the Service codes option.

    The Service codes form is displayed.

The Service codes form is displayed when you select the Service codes option from the SO MISCELLANEOUS OPTIONS menu. From this form you can create and maintain service codes.

Service code: Enter the up-to three character service code.

Description: A description of the service code.

Update service: If this box is ticked, the system will update the last and next service dates on the CRM vehicle record when the service code is used within Point-of-Sale. The next service date is recalculated every time the vehicle is invoiced, whether for a service, MOT or any other type of work. The system calculates the average mileage per day, based on the vehicle-out date and the cumulative mileage to that date. It then looks up the mileage (Service interval) and time between services (Months) on the Fixed details tab of the CRM vehicle model record. If, based on the average mileage per day, the vehicle completes the mileage between services ahead of the time interval, the system adds the number of days calculated to complete the service interval on a mileage basis to the last service date and, in that way, calculates the next service date.

Update MOT: If this box is ticked, the system will update the next MOT date on the CRM vehicle record when the service code is used within Point-of-Sale. The next MOT date is calculated as the number of months between MOT tests as defined on the Details Page 2 tab of the Franchise Data variant record, or the Service Warranty tab of the Franchise Data model record. The next MOT date is recalculated and displayed every time the vehicle is invoiced, and you are asked to confirm whether this date is correct**. When the date is confirmed, it is updated to the CRM vehicle record and, subject to the presence of an MOT log file, you are prompted to fill in the MOT certificate details.

Update tacho: If this box is ticked, the system will, for commercial vehicles, update the next tachometer recalibration date on the CRM vehicle record when the service code is used within Point-of-Sale.

Analysis code: This field allows you to allocate one of nine different analysis codes against specific service codes. These codes can then be used for statistical purposes and are used mainly in Advanced Analysis.
