The Labour rates option allows you to create up to 78 (26 x 3) different charge-out rates for each franchise on the system. The rates themselves are defined by an up-to-three-character code using letters in the range A-Z - for example: AAA or BC or D) - and may be used when selling labour within the Service Point-of-Sale (POS) system. Priority 9 users have the option to create a range of labour codes for a new franchise - by copying the labour codes from franchise Z - or to edit existing labour rate codes by performing a normal table edit. Other users (priority 8 and below), only have the option to perform a normal table edit. When selling labour at Point-of-Sale, you will be able to interrogate this table to establish the correct labour rate to be used.
Warning: It is advisable to check with the Accounts department before setting up new labour rate codes, because this will have an impact on postings to the Nominal Ledger.
If you have agreed specific rates per hour to certain customers, it is possible to store a default labour rate code on the Other details tab of the customer's Sales Ledger account. When the customer subsequently brings the vehicle in for service, the system automatically charges labour at the agreed rate per hour. This is automatically used by the Point-of-Sale system but can be overtyped in Point-of-Sale, if necessary.
When raising an invoice for labour items to a customer, the system multiplies
the time allowed by the rate per hour
to produce a value to charge the customer.
If you want to make labour cost of sales posting into accounts, the system takes
the time taken multiplied by the cost per hour
to establish the value to post to cost-of-sales.
The labour rate code is held in the Labour type code field of the Labour lines file (which is defined in the SO.labor data dictionary as field name TYPECODE or Labour type code). As well as determining the labour rate, this code can also affect the posting of the sale and cost-of-sale to the Nominal Ledger, if it is being used in the nominal permutations, which is the case with the standard Autoline set-up.
Warning: In this case, caution should be exercised before adding new labour rate codes, to ensure that they do not clash with labour type codes reserved for specific purposes.
In the standard set-up normally adopted by Autoline, the labour type codes are defined as follows:
A to I: Genuine labour rate codes, where G is usually the warranty labour rate and I the internal labour rate
J: MOT
K: Other spare labour rate code (user-defined)
L, M, N, O: Oil and lubricants, not charged by way of parts through parts department
P: Paint and materials, not charged by way of parts through parts department
Q & R: Other spare labour rate codes (user-defined)
S: Sub-let work
T: Text-only records (messages on the invoice to the customer, zero value, and cost)
U: Not reserved specifically
V: VAT, insurance excess, and customer contributions, which are removed from the insurance company invoice and charged on to the customer
W, X, Y & Z: Other spare codes used for items such as vehicle recovery, consumables, car hire not charged through daily rentals, and so on
Note: Labour codes up to the letter specified in the Non labour codes field on the Options 3 tab of the POS parameters require both an employee number and a time taken to be entered against them (normally A to R; U; V, and W). Non-labour codes (normally X to Z), do not require an employee number or a time taken. Sub-let types specified in the Sublet types field on the Main tab of the POS parameters (normally S) require a cost price and retail price. Text labour types specified on the Main tab of the POS parameters (normally T), do not require an employee number, a time taken, a cost-, or selling price.
Priority 9 users are given the option to create labour rates for a new franchise - by copying the labour rates from franchise Z - and to perform a normal table edit. The following program shows you how to create labour rates from franchise Z.
To set up a range of labour codes via franchise Z/edit labour rates:
From the Autoline Master Menu, select the Point of sale option and Company you require.
The POINT OF SALE menu is displayed.
Select Miscellaneous options.
The SO MISCELLANEOUS OPTIONS menu is displayed.
Select the Labour rates option.
You are prompted to select the labour rate edit mode via a dialog box.
Select the Setup via franchise Z option button.
You are prompted to enter the destination franchise via a dialog box.
Enter the destination franchise (a single letter in the range A-Z), and click OK.
A dialog box is displayed prompting you to select an item from the menu.
Do one of the following:
If you want to remove any previous labour rate set up for the franchise letter, select the Remove-destination-range option and click OK.
If you do not want to remove an previous labour rate set up for the franchise letter, select the Skip option and click OK.
A dialog box is displayed, prompting you to select an item from the menu.
Do one of the following:
To create labour rates for the new franchise by copying franchise Z, select the Create-destination range option.
If you do not want to create labour rates for the new franchise, select the Skip option.
The Labour Rates form is displayed.

To edit labour codes:
From the Autoline Master Menu, select the Point of sale option and Company you require.

Select Miscellaneous options.
The SO MISCELLANEOUS OPTIONS menu is displayed.
Select the Labour rates option.
You will get one of the following two results:
If you are a priority 9 user, you are prompted to select the labour rate edit mode. Click the Normal table edit option button.
The Labour Rates form is displayed.
If you are a priority 8 (or below) user, the Labour Rates form is displayed.
You can now edit the labour rates in the normal way.
The Labour rates form is displayed when you use the Labour rates option on the SO MISCELLANEOUS OPTIONS menu.From this form, you can create, and maintain, labour rates.
