Each time menu pricing data is uploaded and converted on the Autoline system, you must identify which part numbers/RTS codes your dealership uses for fluids. When the upload is run by Timed Operations, an e-mail is automatically sent to the user identified on the Miscellaneous tab of the parameters (Email address), as a reminder to carry out fluid mapping. If you manually upload and convert data, fluid mapping is automatically displayed after the data is converted. In some cases one company may be designated to perform the upload and conversion for a number of companies. In this case, secondary companies are only required to carry out fluid mapping.
Note: When a menu is selected in POS, an e-mail is automatically sent to the user identified on the Miscellaneous tab of the parameters (Email address) if there are any unmapped fluids.
If you issue a fluid in different quantities, a facility is also available that enables you to add alternative fluid codes.
What do you want to do?
This form is displayed when you select the Amend or Create commands from the shortcut menu on the Fluid mapping tab of the Service Menu Pricing Setup form. Within this form, you must identify the part number or RTS code that your dealership uses for the fluid.
Note: When you select the Add alternative command from the shortcut menu, the Add alternative fluid mapping form is displayed. Within this form, you are required to complete the same details as those displayed on the Fluid Mapping form.
Part no/RTS code: Enter the part number or Repair Time Schedule (RTS) code used by the dealership, if known. (RTS codes are used in some cases due to the variety of part numbers that may fall into a particular category, e.g. OIL.) If you do not know the part number or RTS code, right-click, select the required command from the shortcut menu, and select one of the following to carry out a search: Stock file, Price file or RTS codes.
Note: If you use a part number, you must also specify the Fluid issued in quantity. If you use an RTS code, you must enter the Retail and Cost price.
Fluid issued in: If you enter a part number, you must also specify the Unit of Issue (UOI), e.g. if you sell oil in 10ths of a litre, the factor is 0.10. If you sell it in ½ litres, the factor is 0.50. Select the required factor from the drop-down menu. Factor numbers entered here will not be overwritten when a new release of data is uploaded and converted on the Autoline system.
Note: It is not possible to create additional factor values. Fluids can only be issued in one of the multiples listed on the drop-down menu.
Retail: If you have used an RTS code, you must also enter the retail price.
Cost: If you have used an RTS code, you must also enter the cost price.
Note: It is important that you enter the cost price in order for the program to calculate the profit correctly.
To retrieve the correct part number or RTS code, select one of the following radio buttons:
- Stock file: Searches the stock file.
- Price file: Searches the price file.
- RTS code: Searches the standard RTS code file.
PUSH BUTTONS:
OK: Updates the mapping for the fluid code.
Cancel: Cancels the update.
To amend fluid mapping:
From the OPERATIONS menu, select the Menu pricing menu option.
The Menu Pricing Maintenance menu is displayed.
Select the Menu Pricing setup option.
If there is more than one Point-of-Sale (SO) company, the system prompts you for the SO company.
Select the SO company.
The Service Menu Pricing Setup form is displayed.
Display the Fluid mapping tab.
Position the cursor over the fluid code that you want to map, right-click and select the Amend command from the shortcut menu.
Tip: Alternatively, double-left click a fluid code to select it.
The Fluid mapping form is displayed.
Enter the part number or RTS code that your dealership uses for the fluid.
Tip: If unknown, select one of the following radio buttons within the Search group box, and click the Ellipsis button [...]:
If you entered a part number, complete the Fluid issued in field.
If you entered an RTS code, complete the Retail and Cost fields.
Click OK.
You are returned to the Fluid mapping tab.
It is possible that you may want to book out different quantities of fluids depending on the job or customer. For example, you may want to use bulk oil for a trade customer but issue a package to a cash customer. Bulk oil may be supplied in a drum or 5 litre container, and a package may contain ½ litre or 1 litre of oil. In order to do this, you must map the fluid code supplied by the manufacturer in the normal way with a Fluid issued in quantity of, say, 5.00 litres, and add an alternative fluid code with a Fluid issued in quantity of 0.50 (½) litre.
In Point-of-Sale, if a selected menu contains alternative fluid codes, users are presented with an additional window, prompting them to identify how they want to issue the fluid.
To add an alternative fluid code:
From the OPERATIONS menu, select the Menu pricing menu option.
The Menu pricing maintenance menu is displayed.
Select the Menu Pricing setup option.
If there is more than one Point-of-Sale (SO) company, the system prompts you for the SO company.
Select the SO company.
The Service Menu Pricing Setup form is displayed.
Display the Fluid mapping tab.
Position the cursor over the fluid code for which you want to add an alternative, right-click and select the Add alternative command from the shortcut menu.
The Add alternative fluid mapping form is displayed.
Tip: The Add alternative fluid mapping form is the same as the Fluid mapping form.
Enter the part number or RTS code that your dealership uses for the fluid.
Tip: If unknown, select one of the following radio buttons within the Search group box, and click the Ellipsis button [..]:

To create a fluid code:
From the OPERATIONS menu, select the Menu pricing menu option.
The Menu pricing maintenance menu is displayed.
Select the Menu Pricing setup option.
If there is more than one Point-of-Sale (SO) company, the system prompts you for the SO company.
Select the SO company.
The Service Menu Pricing Setup form is displayed.
Display the Fluid mapping tab.
Position the cursor over the grid, right-click and select the Create command from the shortcut menu.
The Fluid mapping form is displayed.
Enter the part number or RTS code that your dealership uses for the fluid.
Tip: If unknown, select one of the following radio buttons within the Search group box, and click the Ellipsis button [..]:
If you entered a part number, complete the Fluid issued in field.
If you entered an RTS code, complete the Retail and Cost fields.
Click OK.
You are returned to the Fluid mapping tab.
A facility is available that enables you to delete fluid codes. This includes both manufacturer fluid codes and any alternative fluid codes that you have added. The program enables you to delete all but one fluid code. For example, if three occurrences of fluid code 52 exist, you can only delete two of the records.
To delete a fluid code:
From the OPERATIONS menu, select the Menu pricing menu option.
The Menu Pricing Maintenance menu is displayed.
Select the Menu Pricing setup option.
If there is more than one Point-of-Sale (SO) company, the system prompts you for the SO company.
Select the SO company.
The Service Menu Pricing Setup form is displayed.
Display the Fluid mapping tab.
Position the cursor over the alternative fluid code that you want to delete, right-click and select the Delete command from the shortcut menu.
The Delete Fluid form is displayed.
Click Delete.
The record is deleted.
