Data Filter

What do you want to do?

Omitting Fields (Columns) from the Grid

Note: This procedure assumes you have loaded the required file in the Edit File (...) form.

To omit fields (columns) from the grid:

  1. On the Edit File (...) form, select Tools > Filters > Apply from the menu bar or click the Apply new filters or edit existing ones toolbar button Filter.gif

    The Data Filter form is displayed.

  2. Tick the Hide cell of fields to be omitted and click Set filter.

    Tip: To display only a small number of fields, click the Hide column heading to tick (omit) ALL fields then untick the fields to be included.

    You are returned to the Edit File (...) form, the ticked field being omitted from the grid.

Tip: To remove filters and redisplay the grid with all fields included, on the Edit File (...) form select Tools > Filters > Reset from the menu bar or click the Clear all filters and hidden columns toolbar button ResetButton.gif

Filtering Records (Lines) in the Grid

Note: This procedure assumes you have loaded the required file in the Edit File (...) form.

To filter records (lines) in the grid:

  1. On the Edit File (...) form, select Tools > Filters > Apply from the menu bar or click the Apply new filters or edit existing ones toolbar button Filter.gif

    The Data Filter form is displayed.

  2. To omit records exceeding limits of values of selected fields, set filter criteria using the Operand and Filter cells of the row/line (field) concerned and click Set filter.

    You are returned to the Edit File (...) form, only those records that pass your filter criteria field being included from the grid.

For example, if the selected file's records contain a field named CLAIMNUM and you want to list only records whose CLAIMNUMs are greater than 123:

  1. Click in the Operand column of the CLAIMNUM row.

    A drop-down button Drop-down appears inside the right-hand edge of the field.

  2. Click the drop-down button Drop-down, and select GT (for greater than) from the shortcut menu.

    The value GT populates the Operand column of the CLAIMNUM row.

  3. Click in the Filter 1 column of the CLAIMNUM row and enter the value 123.

    The value 123 populates the Filter 1 column of the CLAIMNUM row.

  4. Click Set filter.

    You are returned to the Edit File (...) form with only those records whose CLAIMNUMs are greater than 123 listed in the grid.

Data Filter

This form is displayed when you select Tools > Filters > Apply from the menu bar or you click the Apply new filters or edit existing ones toolbar button Filter.gif on the Edit File (...) form. It enables you to apply new filters to displayed records or edit existing filters.

GRID:

Each line corresponds to a field in the records of the selected file.

Field: Field identifier

Description: Purpose of the field

Hide: A tick causes the Edit File (...) form's grid to be redisplayed with the column (field) corresponding to this form's row (field) omitted when you click Set filter.

Operand: Dictates whether to display records that, for example, include or exclude the value you specify in the adjacent Filter 1. In other words, only lines representing records whose fields corresponding to Field that meet your criterion of Operand applied to the value you specify in Filter 1 are included in the Edit File (...) form's grid after you click Set filter. One of:

Tip: Click in the Operand field to display a drop-down button Drop-down, enabling you to select from a context menu of these values.

Filter 1: Value to which Field is compared in determining whether the record passes through your Operand filter criterion (when you click Set filter)

PUSH BUTTONS:

Set filter: Returns you to the Edit File (...) form, its grid containing only lines that match the criteria specified by the combination of Operand and Filter 1, and with any ticked Hide columns omitted

Reset: Clears contents of the Hide, Operand, and Filter 1 columns

Tip: To return to the Edit File (...) form, its grid containing all lines (unfiltered), click Reset then Set filter. Alternatively, after returning to the Edit File (...) form, select Tools > Filters > Reset from its menu bar.
