Data Protection

A traffic light function is used in CRM (icon on the right side of the Find record field in the Customer records or Company records), Point Of Sale (icon on the right side of the Customer field in the Point-of-Sale Form), Vehicle Stockbooks (icon on the right side of the Customer field in the New Vehicle Sales Brief Tab or Used Vehicles - Sales Brief Tab), Showroom (icon on the right side of the Customer details group in the Showroom Enquiries) and the details of the Case file to draw attention that one or more Data protection agreements exists for the customer or company.

Note: The traffic light function for the agreement status in Point Of Sale, Vehicle Stockbooks and Showroom is based on the default agreement.

Different icons are used for the traffic light function depending on the status of the DPA. The icon will reflect the status of the default Data protection agreement (DPA) when more than one DPA exists for the customer or company.

The Branch column is available in the Agreements grid, when the Activate location based agreements parameter is selected on the General tab of the Data protection parameters. In this case, it is possible to set the default Data protection agreement per (main) location. The traffic light function is displaying the icon depending on the user’s main location whom is accessing the CRM record. The user’s main location, the office where the user is based, is available in the User details.

Here dealers have the ability to store the information whether or not and in which manner a customer has given his or her consent for marketing activities. The user can also store the data protection information on behalf of the partners of this dealer, for example, manufacturers and third parties.

By default the agreed channels of communication for a DPA are not selected as a customer/company must opt-in to a channel of communication.

Each market can define its own channels of communication, therefor the Data protection tab allows a flexible setup.

Data Protection Tab on Company Record

Agreements on Data Protection tab:

Displays a quick overview of the customers' data protection agreements (DPAs) with the dealer and partners.

Alignments:

Agreements Grid (Vertical Alignment):

The following columns are displayed when the Show channels on agreement grid parameter is set to Vertically on the General tab of the Data protection parameters.

Expand/Collapse: Click the + icon to expand or the - icon to collapse the channels of an agreements.

Note: The channels of the agreement are expanded or collapsed by default, depending on the Expand channels parameter on the General tab of the Data protection parameters.

Mfr: Displays the manufacturer for which the agreement is valid.

Use: Displays if this agreement is used for P - personal (customer) or C - commercial (company).

Branch: Displays the location of the agreement.

Data protection agreement: Displays the description of the agreement.

Dft: If selected, then the current agreement is used as a default agreement. A customer may have two cars each with a different franchise, for example, franchise XYZ and franchise ABC. If the customer deals only infrequently with the dealer in relation to franchise XYZ but often in relation to franchise ABC then the ABC agreement is selected as the default agreement.

Last updated: Displays the date that the agreement is last changed.

Channels: Displays the channels of the agreement.

Status: Displays the status of the channel:

Agreements Grid (Horizontal Alignment):

The following columns are displayed when the Show channels on agreement grid parameter is set to Horizontally on the General tab of the Data protection parameters.

Mfr: Displays the manufacturer for which the agreement is valid.

Use: Displays if this agreement is used for P - personal (customer) or C - commercial (company).

Branch: Displays the location of the agreement.

[All channels of the agreements are displayed side by side]: Displays the status of the channel of the agreement.

Note: In case of a large number of channels it is possible that column headers will not contain the complete description of these channels.

Agreements Grid Shortcut Menu:

Agreement details on Data Protection tab:

Agreement: Enter the description of the agreement.

Default / Use: Select or clear the current agreement as the default. A customer may have two cars each with a different franchise, for example, franchise XYZ and franchise ABC. If the customer deals only infrequently with the dealer in relation to franchise XYZ but often in relation to franchise ABC then the ABC agreement is selected as the default agreement. Additional it is displayed wether this agreement is used for P - personal (customer) or C - commercial (company).

Version: Displays the version of the statement.

Valid from: Displays on which date the statement becomes valid.

Valid to: Displays up to which date the statement is valid.

Country: Displays for which country the statement is valid.

Mfr: Displays the manufacturer for which the statement is valid.

OEM notes: Enter the notes of the OEM.

Dealer notes: Enter the notes of the dealer.

Creator: Displays the user id of the person whom created the agreement for the company record.

Created: Displays the date that the agreement is created.

Last editor: Displays the user id of the person whom changed the agreement for the company record.

Edited:Displays the date that the agreement is last changed.

Channel Grid:

Channel: Displays the channels of the agreement.

Status: Select this field and click the arrow to open the list with statuses. Complete this field on how the customer/company has agreed/declined to opt-in to the channel concerned. Select the status of the channel:

Note: Selecting the status Agreed of the communication channel indicates the customer or the company has given their explicit consent to be contacted by that channel of communication in relation to that agreement. If status is Denied or Unknown for a channel of an agreement then the customer or company has not given their consent and this channel of communication is not permitted.

Method Grid:

Displays the methods linked to the selected gridline in the Channel grid.

Shortcuts on Data Protection tab:

If applicable, related functions become available for manufacturer specific use.
