Set up the basic data protection CRM parameters and the methods, channels and data protection statements (DPS) per CRM company.
This form is displayed when you click Manufacturer Specific > X4. Generic - CRM > Generic CRM parameters and you browse to + CRM parameters > + Data Protection Parameters > X4 on the Project parameters browser. It maintains the basic Data Protection Parameters records.

Data Protection Statuses Grid:
This gives the flexibility to change status descriptions and to change to different picture schemes.
Status: Displays the existing status code for Data Protection Agreements (DPA).
A: Agreed, the customer/company has agreed to opt-in on all channels.
D: Denied, the customer/company has declined to opt-in on all channels.
P: Partially agreed, the customer/company has only agreed to opt-in on some channels.
U: Unknown, the customer/company is not asked (yet) to opt-in to any channels.
X: About to expire - agreed, the customer/company has agreed to opt-in on all channels, but one or more agreements are about to expire.
Y: About to expire - partial, the customer/company has only agreed to opt-in on some channels, but one or more agreements are about to expire.
Note: A default content is used when the status file is empty.
Description: Displays the description of the status code.
Picture file: Displays the path and file name of the picture for the status code.
Data Protection Statuses Grid Shortcut Menu:
Amend: Opens the Status details form to change a record of the Statuses file.
Delete: Deletes the corresponding record from the file and refreshes the grid.
Warning: Deleting a status code can prevent the DPA function from working correctly.
This form is displayed when you click Manufacturer Specific > X4. Generic - CRM > Generic CRM parameters and you browse to + CRM parameters > + Data Protection Parameters > [no. Company name] on the Project parameters browser. It maintains Data Protection Parameters parameter records for the selected company.
Tabs:
Activate agreements on customers: Select to make the Data protection tab available for customer records.
Activate agreements on companies: Select to make the Data protection tab available for company records.
Note: Select at least one of the parameters above to activate the Privacy Statements and Data Protection function.
Activate location based agreements: Select to create data protection agreements for a specific location for a particular CRM company. By default, this field is cleared and only one data protection per brand per CRM company is possible.
Include cases without an agreement?: Select to include customers or companies without a valid data protection agreement into marketing activities. By default, this field is cleared.
Activate auditing on agreements: Select to use file auditing for the data protection agreement files: DP agreements (dpagr), DP agreement options (dpago) and DP statements (dpsta).
Note: Please set up the necessary entries in Database audit control.
Activate audit log on agreements: Select to add an option to view an audit of the channel agreements on the Data protection tab of customer records and/or the Data protection tab of company records. Each change to the channel status is stored in the DP Agreements audit log (dpaau) file.
Days to indicate the expiry date Enter the number of days, to display a message before the data protection agreement loses validity.
Show channels on agreement grid: Select the preferred display of the communication channels in the Agreement grid on the Data protection tab of customer records and/or the Data protection tab of company records:
H - Horizontally: Displays the communication channels in the Agreement grid side by side creating one line per agreement.
V - Vertically: Displays the communication channels in the Agreement grid line by line, multiple lines per agreement are possible.
Note: This vertical alignment requires that the Expand channels parameter is set additionally.
Expand channels: Select the required display of the vertical alignment of the communication channels per agreement in the Agreement grid.
N - None: All channels are collapsed into one line per agreement.
A - All: All communication channels of all agreements are expanded. All communication channels of all agreements of a company or customer are displayed in the grid.
D - Default: Only the communication channels of the default agreement are expanded, the others are collapsed.
It is possible to link customer or company relation fields (Telephone numbers, E-mail, Address, Postcode and Letter salutation) to the method concerned.
Methods Grid:
Method description: Displays the description of the method, this is defined by the user.
Fields: Displays the first field which is selected in the Method details form. Select this field and click the arrow to open the list with all relation fields linked to this method.
Methods Grid Shortcut Menu:
Create: Opens the Method details - Create form to create and complete a new record in the Methods file.
Amend: Opens the Method details - Amend form to change a record of the Methods file.
Delete: Deletes the corresponding record from the Methods file and refreshes the grid.
A channel of communication is a defined as a category of communication, for example, electronic. A channel can contain several methods of communication, for example, the channel electronic containing the methods SMS and e-mail.
Channels Grid:
Channel description: Displays the description of the channel, this is defined by the user.
Methods: Displays the first field which is selected in the Channel details form. Select this field and click the arrow to open the list with all methods linked to this channel.
Query: Displays the query of the channel, this is defined by the user. You can use the query name in a standard query routine to check the channel status.

Data Protection Statements Grid:
Statement description: Displays the description of the statement, this is defined by the user.
Version: Displays the version of the statement.
Query: Displays the query name of the statement.
CS: Displays for which country the statement is set up.
MS: Displays the manufacturer for which the statement is set up.
From: Displays on which date the statement becomes valid.
To: Displays up to which date the statement is valid.
Channels Grid Shortcut Menu:
Create: Opens the Statement details form to create and complete a new record in the Statements file.
Create version: Opens the Statement details form to create and complete a new version of the record in the Statements file. The content of all fields of the selected Data protection statement are taken over to the new DPS with the exception of the fields Version (blank), Valid from (populated with date after the value of Valid to of the selected DPS) and Valid to (blank). If a new version of the Data protection statement (DPS) is saved the Valid to field of the base version is set to the day before the Valid from field of the new version.

Delete: Deletes the corresponding record from the Statements file and refreshes the grid.
Tip: The user can expand or collapse the details of a statement in the browser.
Data protection statement (DPS) is a privacy statement that details what personal information is collected and how this information is used. It contains one or more channels of communication.
Data protection agreement (DPA) is a record of a customer's agreement or non-agreement to the terms of a privacy statement.
Channel of communication (Channel) is a defined category within a DPS respective within a DPA on customer or company level, for example, Electronic.
Method of communication (Method) is a specific communication method within a channel of communication. For example, e-mail and SMS could be methods of communication within the Electronic channel of communication.
