The vehicle sales brief tab needs to be completed to produce a vehicle invoice.
Vehicle description: Displays the full vehicle description from the Identity tab. To amend click on the identity tab
Chassis number: Displays the vehicle chassis number.
Invoice and Customer A/C Details
CRM customer: Enter the customer record number. Click on the [...] to search for the customer and / or company.
Invoice A/c: The account debtor. This is normally the person / company paying for the vehicle, can be the finance company. The invoice is defaulted from the invoice account or the CRM customer or company record but can be edited.
Name: The invoice name .
Address: The invoice address.
Post code: The invoice post code.
Customer A/c: The customer debtor account. This can be the same as the invoice account if the customer us paying for the vehicle.
Name: The customers name.
Address: The address of the customer.
Post code: The post code of the customer.
Note: To copy the name and address from one field to the other, select the arrows in the centre of the screen.
Sales Details
Selling location: If the selling location differs to the physical or buying locations then select the relevant one. This can be used for profit reports and analysing the sales posting to the nominal ledger.
Progress code: Displays the progress code from the Identity tab, this field is not editable.
Customer order no: The customer order number (if appropriate).
Order date: The customer order date.
Sales type: The type of sale. (For example R for retail, F for fleet. This can be used for profit reports and analysing the sales posting to the nominal ledger.
Sales executive: The User ID of the sales executives. Up to four different sales executives can be attached to any one deal.
Est. delivery date: The anticipated date of delivery to the customer.
Actual delivery: The delivery date of the vehicle. (This is a mandatory field and must be completed before the invoice can be printed.)
Reservation and registration details
Reserved On: The date the vehicle was reserved by a sales executive.
At: the vehicle reserved from this date.
Until:The vehicle reserved until this date.
Reserved by: Select from the drop down menu of sales staff, who reserved the vehicle.
Registration number: The registration number of the vehicle.
Registration Date: The date the vehicle was registered.
Invoice date: The date of the invoice. This is a mandatory field and must be completed before the invoice can be printed. This will be used as the posting date to the nominal ledger.
Vehicle Administration links the CRM vehicle record to all three customers on production of the invoice. Which customer will be used in each case will depend on whether the vehicle is nominated as privately company owned when the invoice is produced. The company option is only available if the customer is linked to a company.
If you declare the vehicle as being company owned, the company record to which the customer is linked will check to see if there is a nominated sales and/or after sales customer specified on the details tab and therefore use those customer numbers. If there is no nominated company customer then the link will be to the same customers the vehicle administration attachment. The driver link will always be the same as the vehicle administration attachment.
They contain information relating to whom the vehicle has been sold or who has placed an order for the vehicle.
