Account Enquiry

The second enquiry facility in the Nominal Ledger is the Account enquiry option. It is especially useful for providing information on groups of Expense Codes and Cost Centres and enables more detailed enquiries than Display Account Details

To perform an account enquiry:

  1. From the Autoline master menu select the Nominal Ledger option and the company you require.

  2. The Nominal Ledger menu is displayed.

  3. Select the Account enquiry option.

  4. The Selection Criteria form is displayed.

Cost Centre: Enter the Cost centre.

Expense Code: Enter the Expense code.

Tip: By using masks, (i.e. by part filling the fields and using the left and right arrow keys to leave the asterisks, which function as wildcards, intact), groups of Cost Centres linked to one Expense Code, or of Expense Codes linked to one Cost Centre can be examined together. A search is available on both fields by clicking the button. Searches by Short Name and also a Word Search is available.

Note: When specific Cost Centres and Expense Codes have been chosen, Autoline will display their names for verification purposes.

An indicator on the screen tells you that you are in slow, middle or fast mode. This refers to the fact that, as Autoline becomes more certain as to the exact information you want, it will make the transactions available faster.

RADIO BUTTONS

Sort sequence

Cost centre: Set this radio button to set the account enquiry to sort by Cost centre.

Expense code: [Sort Sequence] Set this radio button to set the account enquiry to sort by Expense code.

Period

All: [Period]Set this radio button to include all periods and values in your account enquiry.

B/forward: [Period] Set this radio button to only include brought forward periods and values in your account enquiry.

Current: [Period] Set this radio button to only include current periods and values in your account enquiry.

Future: [Period] Set this radio button to only include future periods and values in your account enquiry.

Any: [Period] Set this radio button to include any posting values in your account enquiry.

Options

Forwards: [Options] Set this radio button to display the results of the account enquiry from start to finish.

Backwards: [Options] Set this radio button to display the results of the account enquiry from finish to start.

Totals: [Options] Set this radio button to show the number of Accounts, the number of items and the balances, the current and the future postings for all of the chosen accounts in the base currency of the Nominal Ledger for all of the Accounts in the selected range.

Detail: The Search Results will be displayed [showing the account,last posting,number of items, brought forward and current period and future postings. Additional information for any of the accounts shown may be obtained by highlighting the respective line and clicking on the Detail button. The same effect in terms of display can be achieved by double clicking in the grid. Clicking the Transactions button shows the transactions grid,the detail of which can be seen in Transaction Enquiries

Once the grid has been displayed, the ability to right click a transaction in the grid and select Detail, Document or Drill into daybook/item, is available, and functions in the same way as Display Accounts The user can access Help or Close this form at any time.

BUTTONS

Exit: Returns you to the Nominal Ledger Menu.

Help: Displays help on the current application in your default company browser.

Reset: Resets all entered criteria to the default criteria.

Execute: Actions the account enquiry using the selection criteria you have entered.
