To Import a journal file from PC:
From Autoline master menu select the Nominal Ledger option and the company you require.
Select the Imported journal options option.
Select the Import file to NL option.
The Importing NL journal form is displayed.
The user will be presented with a form defaulting to the "File Selection"
tab, and the File Type field. A box is available for the user to
select either an Excel spreadsheet or a CSV file, depending on how the source
document was saved.
By tabbing to the next field, the user must enter the Worksheet title [this is the title of the worksheet in Excel e.g. Sheet1]
By tabbing and using the
button in the File Name field, the user can search through their PC disk drives [usually
the C drive] to locate the spreadsheet they wish to import. There is a tree which
enables the user to search through the directories and files in a structured manner. Once the relevant file has been selected, click the Select button and ensure the file
has the correct extension [e.g. .xls or .csv]
Tab to the next field [Data starts at line], this will have been defaulted in from the system parameters and unless the user really wants to change where the data starts, it is usually acceptable to just tab through to the next field.
By tabbing to the Journal Code field, the filename will automatically populate the Journal Code field, and consequently the user can choose to amend if they want, or accept the default.
Next, tab to the description field and enter a relevant and meaningful description.
The user will notice that there are two non-editable fields that give details of the userid and the date of the import. At this point the user can either click the Exit button, the Help button to access online help, or the Next button to complete the import process.
Once the Next button has been selected, the journal grid will display the journal entries. This will aid the user determine whether they really do want to import this journal and that they have selected the correct one, that it balances etc. Again at this point the user can Exit, access the Help, go Back one stage [to the first form] or click Finish , which will import the journal, whereby a message will be displayed informing the user that the journal has imported successfully, and the user is subsequently returned to the imported journals menu. If the journal has already been imported unbeknown to the user, an error message Error creating header [duplicate key] will be displayed and the user will have to go back and import the correct journal!!
