Imported Journal Options

A facility is available to import files of journal transactions from a PC to the Nominal Ledger. The journal transactions can be the result of a spreadsheet model or transactions from another main system using the PC as a transfer tool. Consequently this facility can speed up laborious journal entries as the creation from the spreadsheet is far quicker than manual journal entry.

Within the Nominal Ledger system maintenance system parameters journal options, there are three parameters which have to be completed to effect an imported journal transfer. The parameters are discussed in the System Parameters [Journal Tab] section of this on-line help.

SPREADSHEET CONSIDERATIONS

The format used by the Transfer option MUST conform to the following:

  1. The first line which is the header line is not essential but must be compatible to the specified start of data line from system parameters.

  2. The reference imported [if any]must be the same [on spreadsheet and actual journal header]

  3. The posting date must be the same [on spreadsheet and actual journal header]

If, for example, the value of any field is not set, then the field will need to be separated by commas.

This is an example of a format structure using an Excel spreadsheet:

Reference, Posting date, Account code, Suffix, Value, Narrative, SL/PL Account, SL/PL Reference

REFERENCE1, 17/11/1997,0000000001,SUFFIX1,-100.00,NARRATIVE LINE1,A0001, MOTOR

REFERENCE1, 17/11/1997,0000000002,SUFFIX2,-200.00,NARRATIVE LINE2, A0002, CARS

Once the spreadsheet has been prepared, there are two options the user can choose from:

What do you want to do?

Import file to NL: Import NL journal data from a PC.

Edit & post imported journal: Edit and post the imported journal file.
