This option allows you to select documents for payment with great flexibility on the basis of invoice date or due date (depending on the setting in the system parameters), document priority, remittance analysis code, currency, or any combination of the above).
The selection is performed on the system by setting the documents to a priority for payment. You may use up to nine priority settings.
To select documents for payment:
From the Autoline Master menu select the Purchase Ledger option and the Company you require.
The PURCHASE LEDGER menu is displayed.
Select the Remittances & cheques option.
The REMITTANCES AND CHEQUES menu is displayed.
Select the Select documents for payment option.
The Select Documents For Payment form is displayed.
The remittance and cheque process features several steps: Selection and viewing of documents for payment, editing of document status, then finally the printing and posting of the remittances and cheques.
This form is divided into two separate parts.
The first fields can be used as a group to control settlement discount runs.
The other fields control full runs of remittances and cheques.
Remittances and cheques can be selected on the basis of settlement discount only. The following fields govern settlement discount runs:
Settlement discount date: This field accepts a date to be used as the cut-off date for calculating settlement discount, that is, determines whether accounts and their transactions are considered for settlement discount. Click the Ellipsis button
button to access an electronic calendar.
Days until next run: This field accepts a three-digit number of days until the next run. On the basis of this figure, the system selects documents that must be paid before the next run to qualify for settlement discount. This number of days is added to the settlement discount date above.
Document priority: Documents within the Purchase Ledger may be held in several different states. They may be Registered, Paid or On-stop. They may also be available for payment at a null priority, represented by a blank Priority field, and at any of nine numeric priorities numbered one (lowest) to nine (highest).
This field sets the selected settlement documents to a priority for payment. Only documents currently at null priority are set.
Due date: Invoices dated later than this date are not selected for payment. A default value of Invoice date or Due date may be set in the system parameters. Click the Ellipsis button
to access an electronic calendar.
If this field is left blank, no selections for non-settlement discount documents are made.
FULL REMITTANCE AND CHEQUE RUN:
Set documents to priority: This field sets the document for the full remittances and cheques run to a given priority in the same way as the previous field of the same name sets the documents for the settlement discount run.
Remittance analysis from/To: This field is used to select creditor accounts for payment on the basis of the codes in the Remittance analysis field of the account record. This can be done on a 'from-to' basis for selected remittance analysis codes or can be left blank to select all codes.
Account code from/To: This field is used to select creditor accounts for payment on the basis of the account codes in the account record. This can be done on a 'from-to' basis for selected account codes or can be left blank to select all codes.
Area code from/To: This field is used to select creditor accounts for payment on the basis of the area codes in the account record. This can be done on a 'from-to' basis for selected area codes or can be left blank to select all codes.
Currency code: This field accepts a currency for which accounts are to be selected. It should be left blank to select all currencies. It should always be blank in single currency systems. A list of available currencies is available from the drop-down menu

BUTTONS:
Exit: Returns you to the REMITTANCES AND CHEQUES menu.
