The selection fields in the form are of two types.
The first type of field is the 'from-to' fields, which allow you to select documents within certain ranges. The fields are:
Document date
Due date
Posting date
Last payment date
Document numbers
Click the ellipsis
button adjacent to any of the date fields to access a Calendar facility to help make your
selection.
The second type of field is the masking, which allow you to select specific values within the fields of the records. The fields are:
Customer Reference
Misc. Reference
Source Module
In these fields, it is possible to filter transactions by specifying individual characters, which can be entered in a given position on mask fields. As long as the asterisk *** characters which signify a wild card in a position on the mask are intact, the search will accept any character in that position.
The remaining fields are either specific code or value fields. Some of the specific codes are defined by the user in other parts of Autoline such as the 'Problem codes'. The value fields are either a monetary value or just a number such as the 'Daybook number' . The fields that are system defined are listed below with the available codes and descriptions.
Document Type: Your available options are:
I = Invoice
C = Credit Note
P = Payment-on-account
A = Adjustment
Status: Your available options are:
Blank = Outstanding
P = Paid
d = Selected for payment by BACS
D = BACS payment in process
Settled flag: Your available options are:
Blank = Outstanding
X = Paid in full
W = Part paid and the balance written off
D = Part paid and the balance taken as discount
OK Button: Once you have entered all your filter selections then click this button and the selected transactions will populate the transactions display grid.
Cancel Button: If you realise you have made a mistake and want to return to the Transactions tab then click this button.
Reset Button: If you have entered incorrect value in several of the selection fields and wish to set the whole form back to its default values then click this button. If the wild card characters are over-typed, they can be restored by clicking this button.
