Supplementary invoicing is designed as an additional tool in the showroom sales process used for invoicing additional accessories to the customer.

How do I choose the right quote, and display its information?
How are accessory lines selected / deselected for invoice or credit?
Can the invoice value be changed for a line selected for invoice?
The quote must be at status I, i.e. invoiced and must either have lines selected for supplementary invoice or lines previously supplementary invoiced, ready for crediting.
Clicking on the Show quotes with: table can filter the quote table to the chosen group.
Blue - Held Lines, line available for supplementary invoicing.
Green - Invoiced, quotes have only lines previously supplementary invoiced.Red - Held and Invoiced, quotes have both lines selected for supplementary invoice and lines previously supplementary invoiced.
Black - All, Displays all of the above at once.
The quote table contains basic information about the quote, but additional information can be displayed. Clicking on the Supplementary Summary button or right clicking on a quote will display a quick summary of the quote concerned. This will also show the accessory line(s) selected for invoice or credit. In addition, the CRM Vehicle button can be pressed to view the CRM record for the vehicle on the quote.
After selecting the required accessories in Showroom, accessories can be selected for supplementary invoice by unticking the ‘Item can appear on the main invoice’ option whilst selected to the accessory. On returning to the accessory summary, the accessory information will be greyed out.
There are two ways to select a line for invoicing.
- Select the required accessory line and click on the yellow ‘Set for Invoice’ button.
- Right click on the required accessory line and choose ‘Add to Invoice’. Similarly, there are two ways to de-select a line from the invoice.
- Select the required accessory line and click on the white ‘Ready for Invoice’ button.
- Right click on the required accessory line and choose ‘Remove from Invoice’.
To select a line for credit, right click on the required accessory line and choose ‘Select invoice for credit’. The only way to abort crediting at this stage is to press ‘Cancel’.
Yes, once the accessory line has been added to the invoice, right click in the ‘Net Value’ column and entered the desired value.
Click on the ‘Print Invoice’ or ‘Print Credit’ button. This will go to another form, where standard invoicing / crediting details can be entered. This will be followed by the Supplementary Invoice Print screen.
Show quotes with: Click the relevant coloured option to display in the selection grid.
Stk.num: The vehicle stock number.
Customer:The first line of the customer, either Target or Company
Vehicle: The description of the vehicle from the vehicle record.
Regno: Vehicle registration (VIN) number.
Invoice: Last main invoice number.
Date: Invoice date
Quote Ref: The quote reference from Showroom.
Buttons:
Supplementary Summary: Displays a Supplementary Invoicing / Crediting summary of the vehicle selected.
CRM Vehicle Displays the CRM Vehicle Record for the vehicle selected.
OK: Displays Supplementary Invoicing / Crediting.
Cancel: Cancels any changes that you have made and returns you to the Showroom main menu.
Help: Displays help on the current application in your default company browser.
This is where the options are chosen and prices are amended to create a supplementary invoice or credit, it is split up into three sections, detailed below.
Vehicle: The description of the selected vehicle.
Customer: The customers name.
Invoice number: The number of the main invoice printed.
Invoice Date: Date when invoice printed.
Stock number: CRM Vehicle Record .
Registration number: Vehicle registration number
Sales executive: The sales person involved in the sale.
Sales type: Vehicle sales type.
Quote number: The quote number given at the start of the sales process.
Description: The description of the vehicle specification line.
Analysis code: The analysis code on the vehicle specification line.
Invoice no: The invoice number of any supplementary invoices or credit notes produced on this line.
Value: The next sales value of each line.
Status: Ready, Set and Invoiced - Ready to invoice - Set for invoice - Previously invoiced.
Uninvoiced Supplementary Total: Total of all uninvoiced lines.
Description: The description of the vehicle specification line.
Analysis code: The analysis code on the vehicle specification line.
Invoice no: The invoice number of any supplementary invoices or credit notes produced on this line.
Net Value: The pre VAT total of the individual line, Change the value ?
Gross Value: Total value including VAT of the individual line.
Supplementary Total: Total of the supplementary invoice
Note:How are accessory lines selected / deselected for invoice or credit? Once a supplementary line has been selected to invoice or credit the Print button will either change to say print invoice or print credit.
The summary displays the same details as the Supplementary Invoicing / Crediting screen, indicating un invoiced, previously invoiced and item set for invoice. These are display only and can not be amended at this point.
Click the "Use Quote" button to amend this quotation and proceed to the Supplementary Invoicing / Crediting for the vehicle selected.
The following information is required for the invoice to be printed.
Sales type: Use the drop down button to search for the required sales type.
Posting Date: Use the ellipsis button to search or enter the required date.
Document Date: Use the ellipsis button to search or enter the required date.
SL Account: Use the ellipsis button to search or enter the required account. (The main invoice account)
Tip: By entering a T into a date field today's date will be entered.
At this point the customer details are pulled from the main invoice but can be changed as some time the person / company paying for the supplementary invoice is not always the person / company that has paid for the main invoice.
Customer: Use the ellipsis button to search for a new customer.
Customer address: Will default from the customer details.
Customer postcode: Will default from the customer details.
Buttons:
Print: Prints supplementary invoice to the selected printer and asks if another copy is required.
Cancel: Cancels any changes that you have made and returns you to the Customer Enquiries - Purchase Summary.
Help: Displays help on the current application in your default company browser.
