The View/print database audit file form and the Cleardown audit log file form enables you to search for any records that have an Audit control. Use the relevant filters and click search to display the results.
To search for records:
Click the drop-down search button to select the required module, company, table and/or column
Note: Only the Module drop-down search is enabled at first. Once a module is selected then the company will be enabled and so on.
Click the ellipsis search button to select the date to search from and to.
Click the drop-down search button to select the required user ID to search on.
Data records that have an audit control are displayed inside brackets in a drop-down list.
The View/Print Database Audit File form is displayed when you click System Utilities > MANAGEMENT MENU > Database audit menu > View/print audit logs or Cleardown audit logs file option.
Filters:
Module: Module the audit was done on
Company: Company number the audit was done on
Table: Table/file that has been audited
Column: Column/field that has been audited
Dates: Audit created selection start date.
Dates: Audit created selection to end date
User: Table/file that has been audited
Search Results:
Display Grid: Displays the search results bassed upon the below.

Record Key: Defines the status of the audit record.

Original value: Value in the column before audit
New Value: Amended value
Record details: Prime Key/Default record (flat file) or System Parameter (flat file)
Note: Record details: Displays either the Prime Key and the value of a Kisam file if used in GB/GEDIT. If an initial / default record is changed this will be displayed as Default record (flat file) meaning no prime key. The only other description to be displayed is System Parameter (flat file) for amendments/deletions of any system parameter file.
User: User ID of the person who has made the change
Terminal: Client terminal ID. This uses the computer's PC name, for example KCC.
IP Address: Client IP address. IP stands for Internet Protocol and is displayed in the following format: ###.###.###.###.
MAC Address: Client MAC address. MAC stands for Media Access Address and is a unique value associated with a network adapter. It uniquely identifies an adapter on a Local Area Network. Format example XX-XX-XX-XX-XX.
Tip: Terminal, IP Address and MAC address can be used to identify an individual user logged on using a generic user ID. For example the user ID may be parts and several user may have access to this login. The Terminal will identify the PC name used for this action and further to this the IP and MAC address will identify the PC used if two or more PCs have the same name.
Buttons:
Search: Searches when required filter criteria are entered (leave all filters blank for all information)
Clear: Clears all displayed information
Print: Print is only enabled when once a search has been done and will print to your selected printer
Note: The Print button is only available within the View / print autit logs function.
Help: Displays this help file in a Web browser
Cleardown: Cleardown the log audit file using the selection filter criteria.
Purge: Delete any audit records that do not have corresponding audit control records.
Note: The Cleardown and Purge buttons are only available within the Cleardown database audit logs file function.
Exit: Returns to the Database audit menu
