Day Form

This form displays all the work that has been booked in for a particular day / shift, in the following order

The work can be loaded to a Resource (Assigned) or left as Unassigned work depending on how it is loaded.

The appearance of the form will differ depending on whether you are loading a WIP or outside a WIP when clicking the date field on the Title row of the Workshop Load form.

Assigned Tasks

This option is available when you first go into the Load form and select the date from the title row without loading a WIP.

Time title row

The Title row displays the current time and the shift hours for the day.

Note: Clicking on the time will open the Unassign All form

Title column

The Title column displays the Short name from the Resources file. All Resource types are shown.

Note: The Resources will be highlighted when they are clocked to an idle code and clocked on to a WIP. Hover over the Resource when highlighted to give the WIP number or idle code that they have clocked onto.

Click any resource to display the pop-up message Unassign all tasks for that technician Yes or No.

If you click a resource type A for Advisor you will also get a further message displayed: Unassign appointment of WIP number? OK or Cancel. The job will be unassigned as long as you have a higher POS priority than the Unassign appointment priority in the Workshop Loading system parameters (If installed).

Right-click any resource to display the shortcut menu:

Task load Grid

Displays all assigned tasks for the day and the technicians available to do the work including resource type O for other, for example MOT Bays and specialist equipment.

Note: Rollover tasks may have the character C in the first cell of a loaded task. What this means is that you have clocked on to this WIP and clocked off after the allowed time allocated for the previous day. If you then hover over the C the time already completed (Taken) from the previous day is displayed.

Right-clicking a task displays a shortcut menu:

Note: When you load a task into the load grid that will not go into today's shift the End of Shift form is displayed.

Unassigned Tasks Tab

This tab enables you to identify the colours used in the fields on both the Task load grid (Assigned tasks) and Unassigned tasks grid.

If the Re-load all jobs option has run, all the previous day's work that has not been completed will be loaded into the Unassigned tasks tab.

Description

Clocked idle - Technician is currently clocked on to a idle code.

Clocked on - Technician is currently clocked on to a WIP.

Available - No task loaded for this time sector.

Unavailable - Unavailable time sector.

Assigned - Assigned Tasks booked for this day.

This job - All the tasks for this WIP are highlighted and displayed in the Assigned and Unassigned tasks grids.

Rollover - A task started in one shift but completed in a later shift. The tasks either side of the intervening rollover period will be shown in this colour. Rollover tasks may have the character ( C ) in the first cell of a loaded task.

Pinned - Where the Customer Waiting check-box on the Order or Workshop/Bodyshop tabs on the main Point-of-Sale form has been selected, the task for that WIP will display the letter X in the first cell of the task.

No resource - Where the Technician is no longer available to carry out the task.

Behind schedule - Indicates Unassigned tasks that are behind schedule.( The Taken time has passed the Allowed time ).

Note: Rollover tasks may have the character C in the first cell of a loaded task. What this means is that you have clocked on to this WIP and clocked off after the allowed time allocated for the previous day. If you then hover over the C, the time already completed (Taken) from the previous day will be displayed.

WIP: WIP numbers for the Unassigned tasks

If you click the WIP number, all lines of that WIP will be loaded into the load wizard. Clicking the WIP column heading loads all unassigned tasks into the load wizard.

Note: If a task has rolled over and the Re-load all jobs option has run, you may get a message when trying to assign a task from the unassigned tasks tab. This is because part of that labour line still exists as assigned. Before you can continue the labour line must be completely unassigned.

Line: Line numbers in the WIP for the Unassigned tasks

Click the line number to load that line into the load wizard.

Task: Text from the first line of the description for the RTS code

Skill: Skill required to complete the task

Time: Allowed time for this task

Taken: Taken time already completed for the task

Due out: The Customer date and time due out from the Order and Workshop tabs within a WIP in Point of sale.

Note: If the WIP is required for the current day then this will only display the time out.

Using the Wizard

This option is available when you first go into the Day form when loading a WIP using the Cut and paste option, or re-assigning a WIP from Unassigned tasks tab.

Note: The task description is displayed at the top left hand side of the form when loading work into the Wizard.

Time title row

The Title row displays the current time and the shift hours for the day.

Note: The system will not allow you to book work into the wizard before the current time.

Tip: You can assign work to the technicians by either clicking the time tile row for the selected hour you require, which will assign the work to the most efficient resource available at that time, or by clicking the current Time header.

Title column

The Title column displays the Short name from the Resources file. Technicians will only be highlighted if they have the required Skill for one or more of the tasks to be loaded.

As tasks are loaded they will be added to the grid. The time shown on the grid will be the time required to complete the task taking account of the efficiency of the Technician assigned. For example a two hour task, allocated to a Technician with an efficiency of 200%, will show as one hour on the grid.

Tip: You can assign work to the technicians by clicking the name of the technician whom you require to do the work.

Description

This task - The Technician has the Skill required to do the task currently shown in the Task Group, but not all of the tasks to be loaded.

All tasks - The Technician has the Skill required to do all of the tasks to be loaded.

Available - This field on the grid is available for a task to be loaded as it is assigned as an active period on the calendars.

Unavailable - This field on the grid is unavailable for a task to be loaded as it is a dormant time as assigned by the calendars.

Other jobs - Tasks booked for this day - other than the task, or tasks, currently being loaded.

This job - All the tasks for this WIP are highlighted and displayed in the Assigned tasks grid.

Task to load Group

Skill: Skill required to complete the task to be loaded

Time: Allowed time for the task. This will be re-calculated to be the remaining time if the task already has clockings against it.

WIP / line: WIP and line number of the WIP being loaded into the Wizard

Push buttons

Undo: Removes the last loading detail entry from the Task Load grid

Undo all: Removes all loading entries made since entering the Day form

Leave: Loads the current task as Unassigned

Leave all: Loads all tasks awaiting loading as Unassigned

Assign: Assigns the task to the earliest available time and the most efficient Technician available at that time

Assign all: Assigns the tasks at the earliest available times and the most efficient Technician available at each start time

Save: Saves the loading details that have been entered and returns you to the Main Point of Sale form

Note: The Assign and Assign all buttons load work into the grid depending on the WL System Parameters for Load mode.

No. Unassigned tasks: Records the number of tasks that have been unassigned

Calendar Group

Enables you to move the task grid forward to the day you require.

Shifts Group

Enables you to filter the resources shown in the Load grid by shift pattern.

Teams Group

Enables you to filter the resources shown in the Load grid by teams.

Tip: You can filter the Resources you see for each operator by entering the Team code into the Teams field on the POS Operators record.
