Viewing Invoices with Errors

Note: This help system contains standard information, some of which might not apply to your franchise. Click the Help button on the relevant forms or menus to see any existing help file specific to your Autoline configuration for that form or menu. Alternatively, a help file may exist in the help system specific to your manufacturer.

This option allows you to see invoices that have failed verification and why. Before attempting to view any invoices, you must set up the parameters once via the Verification Parameters option on the PARTS INVOICE VERIFICATION MENU.

To view invoices that have failed verification:

  1. If the invoices have just failed verification, click here. Otherwise, from the OPERATIONS Menu, select the Parts invoice verification option.

    The PARTS INVOICE VERIFICATION MENU is displayed.

  2. Select the Parts invoice verification option.

    You may be prompted for the SM Company number you want to access. If you only have access to one company, the appropriate PURCHASE LEDGER and NOMINAL LEDGER for that company are automatically opened.

  3. Select the Stock Management Company number if prompted.

    The Parts Invoice Verification Form is displayed.

  4. Select the Invoices Tab, then select the Errors option button under View invoice type. The system does not automatically default to the Errors option button after a failed verification as you may want to verify other invoices before seeing which ones failed.

    A list of invoices with errors is displayed in the Invoice no. grid.

  5. Left-click, or double left-click, on the failed invoice you want to view in the Invoice no. grid. This is in red.

    The invoice details are displayed in the main grid. An error message is displayed in red text below the grid, along with the PURCHASE CONTROL internal invoice number. The Reset invoice and Delete invoice buttons are enabled.

  6. You have two choices:

  1. Reset invoice:

    This re-sets the invoice back to Registered status. You must correct the problem in PURCHASE CONTROL that caused the failed verification, then re-verify the invoice in the Parts Purchase Invoice Verification system if you do not re-verify in PURCHASE CONTROL. It does not matter whether you click Re-set invoice before, or after, you correct errors, but you must always re-set a failed invoice before you re-verify.

  2. Delete invoice:

    Once you have corrected the reason for failure in PURCHASE CONTROL and posted the invoices from there, you can come back to Parts purchase invoice verification and remove the invoice from the list using this facility.

  1. Having selected the failed invoice in the Invoice no. grid, that you want to re-set, click Reset invoice to re-set it.

    Note: You can re-set an invoice at any stage.

    The following message is displayed:

    Invoice reset successfully.

    Click OK.

    You are returned to the Parts Invoice Verification Form.

    Re-setting enables the Verify button. Verification can be performed again provided you have corrected the errors in PURCHASE CONTROL.

  2. If you want to delete the invoice, click on this link.

    Note: If you delete an invoice that has not been verified, you must verify the invoice in PURCHASE CONTROL.
