Stock Orders are files created by a manufacturer's or part supplier's centralized part replenisher system which anticipates the parts that a dealership is likely to require from its sales data.
Note: Not all manufacturers provide this service, in which case the Order Processing tab on the Advice Note and Order Processing form is not displayed.
Stock order files are uploaded and converted at the same time as advice notes and assigned an order number. There are three types of order that you may receive:
Manual: These orders must be accepted or rejected after upload.
Suggested: Suggested orders contain suggested quantities and can therefore be edited and re-submitted from Purchase Control.
This type of order is not very common, but some manufacturers do use them. If a manual order is sent, you have the choice to receive the order or not, by accepting or rejecting it.
When an order is accepted, an order header is created in Purchase Control, and all the parts on the order are added to the header. When the stock arrives, it can be linked to that header in the normal way.
To accept a manual stock order:
In the Order list grid on the Order Processing tab of the Advice Note and Order Processing form, select the unprocessed order you want to accept.
The parts on the selected order are displayed.
Tip: To print an order, right-click the order, and select the Print Order command from the shortcut menu.
Do one of the following:
Click the Accept the selected order toolbar button.
Select the Accept the selected order command from the I want to... menu.
If you reject a manual order, no order is generated in Purchase Control and all the order lines on the order are closed. How the manufacturer is informed of this decision is specific to the franchise, and outside the scope of this help file.
Note: An order cannot be accepted after it is rejected.
To reject a manual stock order:
In the Order list grid on the Order Processing tab of the Advice Note and Order Processing form, select the unprocessed order you want to accept.
The parts on the selected order are displayed.
Do one of the following:
Click the Reject the selected order toolbar button.
Select the Reject the selected order command from the I want to... menu.
Automatic orders are ones that the manufacturer sends to you, and you have no option but to accept, so this is done on your behalf. These are usually built up from a parts replenisher application elsewhere in the Autoline system, and so it is likely to be stock you actually need. You do not need to take any action with these automatic orders. They are shown to give you an idea of what stock will be sent to you.
Some manufacturers send a suggested stock order. If it is a manual order, you must either accept or reject it. If it is an automatic order, the order is created automatically, but the stock is not actually ordered with the manufacturer. You must go into Purchase Control, amend the order quantities as required, remove any unwanted parts and add any others you require. You must then transmit the order to the manufacturer in the normal way for your franchise. Only at this point is a suggested order turned into a real order.
