Monitoring Job Progress

You can view a list of all current jobs, colour-coded by their status.

To monitor job progress:

  1. Click Load Workshop Launch Control from the toolbar on the Service Point-of-Sale Form, or select Workshop > Load from its menu bar.

    The Workshop Launch Control form is displayed.

  2. Click Jobs.

    The Jobs form is displayed.

  3. Select the required line (record), and right-click it.

    An options menu is displayed.

  4. Do one of the following:

    1. To return to the WIP, select the Go to WIP option.

    2. To open the required WIP in the Loading details form, select the View WIP option.

    3. To return to the WIP to re-load the task(s), select the Re-Load option.

      Note: The Re-Load option is only enabled if you select a task that has not been completed and was due out before today's date.

    4. To display the Progress of Tasks Form, select the Tasks option.

Jobs Form

This form is displayed when you click Jobs in the Here and Now group-box on the Workshop Launch Control form. It enables you to work on jobs booked into the workshop.

Menu Bar and Toolbar:

Status @ [time]:

Show all: Enables all WIPs to be shown in the jobs grid

Progress Status Colour buttons:

Click the relevant status colour button. WIP records are filtered according to their progress statuses.

No-show: The vehicle has not been checked in.

Waiting: The vehicle has been checked in but Technician(s) have not started on any of the tasks.

Stopped: One or more of the tasks on this WIP are stopped, awaiting Labour, Parts, Authority or Others.

In progress: Technicians are working on one or more of the tasks on this WIP.

Complete: All the tasks on this WIP have been completed, but the Invoice has not been printed.

Invoiced: All tasks have been completed; the Invoice has been printed, but the Vehicle has not been checked out.

Warning:

Start column: The Start time for this WIP has passed and the tasks on this WIP have not been started.

Finish column: The Finish time for this WIP is within the warning time set in the WL System Parameters.

Req'd by column: The Required by time for this WIP is within the warning time set in the WL System Parameters.

PUSH BUTTON:

Refresh: Refreshes the Jobs grid according to the information in the filter field

[Filter field]: A facility to narrow the customer records search. Enter the customer name or the registration number that exists within the Jobs grid. Click Refresh to re-compile the list of job records.

Mine only: This check-box allows the jobs list to be filtered to show only My WIPs - that is, the ones with my operator description in the Customer contact field on the WIP. If the Operators tab is visible in Point-of-Sale, the jobs list is then filtered to show the WIPs I have checked in. This will be filtered by the Owning Operator (If installed).

Future: When ticked, this check-box will display all the jobs that have been booked in after today. It allows you to check the work coming in, and print job cards.

Jobs grid:

Tip: The tasks in the grid can be sorted in ascending or descending order by clicking any of the fields on the title row, with the exception of Phase, Car, and S [WIP Status].

Wip: WIP number generated in Point-of-Sale. This column also displays the department letter that created the WIP at the beginning of the WIP number, depending on your terminal details.

Tip: To search for a specific WIP number, right-click on the Wip column header and the WL Jobs Wip Filter form is displayed. Enter a valid WIP number, click OK and the Jobs form will refresh to display the WIP number you typed in. The Show all check-box will be available and if selected will refresh the form and display all the jobs as before.

Note: If no WIP is found a message will be displayed saying Wip number ????? not found. If you search for a WIP with one of the Status filters applied, the filter will be reset and the WIP will be displayed regardless of the status of the job.

Owner: Operator name on the Notes tab or the Operators tab if the System parameter, Record operators in WIP, has been enabled in Point-of-Sale. This field will display the Owning Operator (If installed)

Phase: This field is used for Bodyshops, and displays the skill description of the operation being worked on. If all operations are complete except for the final refit, the skill description will be displayed with an asterisk * in the Phase field, to indicate that you are near completion of the job.

Customer: Name of the customer whose vehicle has been loaded to be worked on today

Reg'n: Registration number of the vehicle

Start: Start time for Assigned tasks. For all Unassigned tasks, this defaults to the Unassigned start hour from the System parameters in Workshop Loading.

Note: If jobs carry over, or have not been started for that day, Outside scope is displayed in the Start column against the relevant tasks.

Finish: The time when the job is due to be completed. For all Unassigned tasks, the Unassigned end hour from the System parameters in Workshop Loading is supplied by default.

Pin [Appointment]: Requires the Customer waiting check-box on the Order tab or the Workshop/Bodyshop tab, within the main Point-of-Sale form, to be completed

Car: Displays a tick symbol when a courtesy car is booked on the WIP

Req'd: Displays the time of the WIP booked for today, then the customer date in if the WIP is overdue

Note: If you change the customer dates to future dates and times, the Req'd field will not update. It will only display the time for WIPs that are booked for today, then the customer date in when the WIP is overdue.

S [WIP status]: Displays a tick symbol when a WIP has more than one booked status per labour line

Right-clicking a WIP line (record) in the Jobs grid displays an options menu.

Go to WIP: Loads the WIP in to Point-of-Sale

View WIP: Displays the Loading details form

Re-Load: Enables you to re-load the WIP back into Workshop Loading for today in Unassigned tasks so that the work can be completed. The WIP is loaded into Point-of-Sale, and any amendments can be made if needed. Saving the WIP then displays a message asking you to bring the load dates back into line.

Note: The Re-Load option is only enabled if you select a task that has not been completed and was due out before today's date. This operation can also be run in End-of-Day to re-load automatically all the relevant jobs back into Workshop Loading in the Unassigned Tasks tab, ready to be worked on the following day.

Note: When a WIP has gone to Invoiced status, the WIP remains in the Jobs Form until you check it out, or automatically depending on how the System parameter Return keys is set in Workshop Loading.
